Administration Assistant (Front Office) — Grade 3 — Permanent / 20 hours per week / 40 weeks per annum

We are seeking a Front Office Administration Assistant to join our school office team, providing professional front-of-house support for pupils, parents, visitors and staff. This is a key role within the daily life of the school, ensuring that communication, safeguarding processes and pupil welfare administration run smoothly and effectively. The successful candidate will be the first point of contact for many members of the school community, providing a calm, organised and welcoming reception service. While the role operates within established procedures and under clear direction, it carries important responsibility for safeguarding processes, accurate administration and maintaining positive relationships with families. We are looking for someone who understands that in a school setting, how people are welcomed and supported each day really matters.
Responsibilities
* Acting as the first point of contact for parents, visitors and staff, including managing phones, emails and reception enquiries
* Managing visitor access and sign-in procedures to ensure safeguarding requirements are met
* Supporting pupil welfare administration including medicines, accident documentation and medical records
* Monitoring pupil movement and supporting pupil collection procedures where required
* Assisting with admissions administration and EYFS paperwork and communication
* Maintaining accurate administrative records relating to pupils and visitors
* Supporting the smooth running of the school office through general administrative tasks

Requirements / Safeguarding and eligibility
We are committed to safeguarding and promoting the welfare of the children; therefore, the post is subject to medical clearance and an enhanced DBS check under the Rehabilitation of Offenders Act 1974. All applicants must be able to provide documentation to prove their right to work in the UK. Dudley MBC does not currently offer sponsorship for candidates without the Right to Work in the UK.
