About the role We are seeking a highly capable and trusted Executive Support Officer to build and maintain the executive operating system of the CEO and Executive Leadership Team (ELT). You will orchestrate executive time, coordinate global leadership rhythms, support board and governance activity, manage digital workflows, and foster strong cross‑cultural relationships. This is a strategic, hands‑on role requiring discretion, initiative and a commitment to MAF’s Christian ethos. As the Executive Support Officer to the CEO, you will serve as the central hub of MAF’s executive system—connecting the CEO, Executive Leadership Team (ELT), Board, and our international leadership community. This role ensures that decisions, information, relationships, and priorities flow smoothly across the organisation. Key Responsibilities include: Executive enablement and time orchestration: manage the CEO’s global calendar as a strategic asset; prepare briefings, agendas, travel packs and speaking notes; draft and proofread high‑level correspondence; track actions and follow‑up. ELT coordination: schedule and facilitate global ELT meetings across time zones; curate inclusive agendas; support weekly, monthly, quarterly and annual leadership rhythms; capture outputs and circulate summaries within 48 hours. Board and governance liaison: coordinate end‑to‑end board administration with the Manager of Governance and Secretariat (future); maintain the annual board calendar; prepare and distribute professional board packs; provide minute‑taking and in‑meeting support. Digital workflow and information management: establish standards for Teams and SharePoint; maintain shared digital spaces and version control; champion responsible use of AI tools in line with data‑protection guidance; provide training and templates. Cross ‑cultural relationship management: communicate respectfully and sensitively across MAF’s international network; provide contextual briefings for international engagement. Travel and event management : plan complex international itineraries, executive offsites and field visits; provide on‑site executive support and ensure post‑event follow‑up. Spiritual and organisational culture: model and promote MAF’s Christian ethos; participate in prayer, fellowship and reflection with executive and wider teams. Who we’re seeking Proven executive support officer experience in supporting a CEO or C‑suite in a global or federated organisation. Demonstrable experience coordinating leadership teams and board processes across multiple time zones. Strong experience managing complex international travel, high‑stakes communications and confidential matters. Advanced proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Planner, Power BI) and familiarity with board‑portal software and AI productivity tools. Excellent written and verbal communication, presentation builder, strong proofreading and report/board pack preparation skills. High cultural intelligence, emotional maturity and proven diplomacy in navigating stakeholders in transition and the ability to build rapport internationally. Discretion, integrity and calm under pressure; flexible working pattern and willingness to work unsocial hours when required.
