Job Description: Receptionist / Office Administrator

Company: VincentStokes Ltd

Location: Kettering Business Park

Employment Type: Part time – proposed 9.30am – 2.30pm

Package: £14.50/hr, pension, 13 days paid holiday plus Bank holidays

Reports To: Office Manager / Director

VincentStokes is a Main Contractor that delivers projects nationwide in the leisure, healthcare, retail, and commercial sectors of the industry. The business has been built on delivering fit outs, refurbishments, new builds, extensions and reconfigurations for repeat business clients, with project values ranging from £50,000 to £15,000,000. We specialise within the leisure and health sectors and have developed a partnered supply chain over the past 21 years, enabling us to bring a comprehensive knowledge base to any new development scheme.

Role Overview

The Receptionist/Office Administrator is the first point of contact for visitors and callers, and plays a key role in keeping our office organized and running smoothly. This role requires someone who is proactive, organized, and comfortable juggling a variety of tasks in a fast-paced construction environment.

Key Responsibilities

Reception & Front Desk

·Greet visitors and direct them appropriately

·Answer and manage incoming calls and emails

·Receive and distribute mail, packages, and deliveries

·Administrative Support

·Manage office supplies and place orders as needed

·Maintain filing systems (both digital and physical)

·Prepare documents, reports, and basic correspondence

·Assist with scheduling meetings and managing calendars

·Booking hotels for staff

Construction Office Tasks

·Support project teams with documentation, timesheet tracking, and site coordination

·Maintain project folders, permits, and compliance documents

·Liaise with subcontractors, suppliers, and clients as needed

·General Office Management

·Ensure the office is clean, organized, and welcoming

·Coordinate maintenance and service providers for office equipment

·Assist with onboarding new staff (key cards, office setup, etc.)

Qualifications & Skills

·Previous experience in an office administration or receptionist role (construction industry preferred but not required)

·Strong organizational and multitasking abilities

·Excellent communication and interpersonal skills

·Proficiency in Microsoft Office (Word, Excel, Outlook)

·Positive attitude, reliability, and a willingness to pitch in wherever needed
