Float Executive Assistant Location – Canary Wharf Hybrid working 4 days in the office, one from home Temporary Ongoing role £27p/h - £29p/h An amazing opportunity to be part of the hub of activity, in the front office, for a leading investment bank! This is a 12-month temporary role, with the view to being extended. The successful candidate will work remotely for one day per week, with the other four days in the office. Hours are 9:30 – 5:30 What you'll do: This role requires a professional Assistant to provide a fast and efficient service as a Float Executive Assistant, covering other Assistants absences in Global Capital Markets Assist in setting up internal /external meetings & conference calls Provide back-up telephone cover for senior banking teams Diary Management – Proactive maintenance of calendars and meetings Act as ‘gatekeeper’ for diary invitations and meeting schedules, particularly for VP level bankers Proactively book and co-ordinate all travel including flights, hotels, visas and ground transportation within the Firmwide Expense Policy Ensure relevant agendas and itineraries are organised in advance Process monthly expenses (American Express card, out-of-pocket expenses, invoices) in a timely manner, using Firm systems such as Concur Provide phone cover and support to Bankers outside of designated team when other members of the buddy group are out of the office Work with buddy group to ensure consistent Assistant coverage during lunch breaks, holidays and sickness absence Ensure handover notes are kept up to date for ease of coverage Who You Are: Experience working in Investment Banking (Corporate Finance, M&A Advisory) preferred but not essential Work with buddy group to ensure consistent Assistant coverage during lunch breaks, holidays and sickness absence Ensure handover notes are kept up to date for ease of coverage Good knowledge of Microsoft applications (Windows10), and in particular Outlook Experience processing expenses online (e.g. on Concur) A confident, friendly, outgoing, people-oriented personality, able to liaise with clients and staff at all levels Ability to remain calm under pressure and deal with last-minute changes effectively and efficiently Excellent time/priority management skills & flexibility Strong team player/buddy to other assistants in team Articulate, effective communicator Proactive ‘can do’ approach, ability to use own initiative and judgment Ownership of all tasks, following up outstanding items without the need for chasing Highly organized & attention to detail Discreet, professional manner - maintain confidentiality on all aspects of workload Full training on all systems and policies will be provided Tiger Recruitment is B Corp Certified, which means that we've been verified as meeting B Lab's high standards for social and environmental impact.
