Job Description
As Operations Coordinator you will provide administrative support to the JM freelance division, reporting directly to our Operations Director.
The role will suit a tenacious individual who can liaise at all levels and work to deadlines. You will be expected to handle a fluctuating work load, and effectively manage the administration for a number of client accounts as efficiently as possible.
JacobsMassey specialises in permanent Audio Visual recruitment, freelance Audio Visual deployment and Event Production. Based in Soho, London, our client portfolio ranges from global corporates, tech giants, museums, galleries through to higher education establishments and fashion houses.
Part of your responsibilities will be:
To input and monitor all freelancer data accurately, clearly and on time for Accounts’ submission and payroll.
To support the freelance division by providing administrative skills to maintain records as clearly and accurately as possible, facilitating core business activities.
To verify FULL on-boarding details for new freelancers including references in order to facilitate registration.
The Critical Activities of the Job:
Accurately compiling and adding information to the management information system (MIS) especially chasing up purchase orders (PO’s)
Verifying time sheet submissions to ensure all data entered is accurate for Accounts
Keeping track of freelance resources by maintaining booking information
Supporting the freelance division by providing administration skills.
Overcoming conflicting demands and completing necessary tasks through dedication and patience.
List of Daily / weekly duties:
Update MIS for accurate information on freelance activity
Collate time sheets/request timesheets
Check purchase orders/request purchase orders (PO’s)
Freelancer on-boarding
Add new freelance applicants to recruitment database
Assisting Accounts by gathering information for weekly payroll
Access client portals for self-billing
Investigate/Resolve invoice queries

Salary: £25,000 + 25 days holiday
Hours: 9.30 – 17.30 (35hrs per week)
