Job Description
We're looking for a Finance Assistant to join our team in Tunbridge Wells – someone who loves getting the details right, keeping things organised and helping a busy creative business run smoothly.

You'll be part of a small, supportive finance team that looks after our studios around the world. From processing invoices and posting payments to reconciling statements and keeping records in order, you'll play an important role in making sure everything adds up (literally).

This role would suit someone early in their finance career or looking to build on existing bookkeeping or accounts experience. Or perhaps you're currently working in the service industry with a love of creative and numbers.

You'll be supported by our Assistant Finance Manager and Finance Manager, learning how global finance operations work in a fast-paced, creative environment.

Who You Are

You bring a sense of care, curiosity and teamwork to everything you do, supporting the finance team to deliver with clarity and consistency.

You'll build confidence in finance operations across multiple regions – from reconciliations and invoice processing to reporting prep and supplier management. You'll learn how accurate data underpins every financial decision and how your role supports the business to stay informed, compliant and in control.

Responsibilities
Accounts & reconciliations
You help maintain clean and accurate records, posting payments and receipts, supporting reconciliations, and ensuring every transaction is clear, traceable and consistent.

Month-end & reporting
You assist with the preparation of month-end information: helping gather, check and organise supporting documentation so the team can report with confidence and clarity.

Systems & process
You keep finance systems, files and inboxes organised, ensuring information is up to date and accessible. You support the team by maintaining structure, improving accuracy and spotting where processes can be clearer.

Cross-functional support
You collaborate across departments to gather information, resolve queries and make sure approvals and data flow smoothly between teams. You communicate clearly and handle requests with professionalism.

Team leadership & mentoring
You show up with curiosity, consistency and care. You learn from those around you, take ownership of your work, and contribute positively to the rhythm and reliability of the team.

Commercial acumen
You understand that every detail matters – from prompt postings to tidy records – and that accuracy underpins cashflow, reporting and business decision-making.

What This Role Looks Like In Practice

* Post supplier payments, direct debits and standing orders across all bank accounts
* Monitor the Accounts Payable inbox (shared with AP Assistant)
* Process supplier and freelance invoices globally, chasing approvals and matching POs
* Reconcile supplier statements and issue remittance advices after payment
* Manage credit card reconciliations and assist with job-related expense reconciliations
* Help maintain supplier contracts and business subscription records
* Post client receipts and assist with client invoicing drafts, PO matching and approval distribution
* Support procurement reports, missing PO reports and open PO reconciliations
* Assist with month-end preparation: accrual/prepayment lists, open PO reports and reconciliations
* Run weekly missing time reports and chase timesheets
* Support new supplier, client, freelancer and employee setups
* File and maintain digital, inbox and physical finance records accurately

LOCATION AND FLEXIBILITY
This role is based at our headquarters in Royal Tunbridge Wells, with core hours of 9am to 6pm.

It's a hybrid position, with three days a week in the studio to support collaboration, connection and hands-on learning.

If you're currently studying for your finance qualifications, we're happy to consider a part-time arrangement (four days a week).

Experience
You may have some previous experience in a finance, bookkeeping or administrative role, or you might be looking for your first step into a professional finance position.

What matters most is that you're confident working with numbers, comfortable using Excel and have a sharp eye for detail.

Experience with accounting systems such as Paprika would be a bonus, but full training will be provided.
