Ham Polo Club is London’s last remaining polo club, set within 23 acres of beautiful riverside grounds. The Club offers a unique blend of sport, hospitality, and social events throughout the season. As a busy and growing Club, we are looking for a highly organised and personable Membership & Office Administrator to support the day-to-day running of the Club. This is a key front-facing role, acting as the first point of contact for members, guests, and partners, while providing administrative support across membership, events, and polo operations.
The role combines office administration, membership support, and operational assistance, ensuring smooth communication across departments and a consistently high standard of service. The successful candidate will play an important part in delivering an exceptional experience for members and guests, particularly during an exciting period as we celebrate our centenary year.
Key Responsibilities
Office Administration & Communications
* Manage the Club’s main inbox and phone line, responding to member, guest, and partner enquiries
* Coordinate Club member events including sales, tickets, attendance
* Act as a front-facing point of contact, welcoming members and visitors
* Handle and direct enquiries relating to membership, events, hospitality, and bookings
* Coordinate internal communication and ensure timely follow-up
* Support member and player communications, including WhatsApp updates and announcements
* Oversee merchandise ordering and assist with Sunday polo administration
* Assist with office orders, administration and deliveries
Membership Support
* Act as a key point of contact for member enquiries
* Support membership administration, including payments and invoicing (Xero)
* Maintain and update membership records
Operations & Polo Administration
* Assist the Polo Manager with polo operations, including sourcing trophies, prizes, coordinating engraving, and providing general administrative support as needed
General Responsibilities
* Support the wider team across events and daily operations, including assisting with event set-up where required
* Assist with scheduling, coordination, and general office organisation
* Help ensure the smooth day-to-day running of the Club

Skills & Experience
* IT proficiency, including familiarity with Google Workspace
* Basic Excel skills
* A proactive approach and willingness to learn
* Excellent communication and interpersonal skills
* Well organised, with the ability to multitask and prioritise effectively
* Comfortable working across multiple teams in a fast-paced environment
* Experience in an office or administrative role preferred
Working pattern:
4 days per week (Tuesday–Friday) during the season (March to September), and 2 days per week (flexible) during the off-season. There may also be the option to structure this as 3 days per week year-round, to be confirmed.
Standard office hours apply, with occasional flexibility required to assist at events or outside of these hours, with notice given.
