St John's Beaumont is a Day and Boarding Preparatory School is a School for pupils aged from 3 to 13 set within 75 acres of established woodland and playing fields adjacent to Windsor Great Park.

JOB PURPOSE
To work alongside the Headmaster to ensure the smooth running of the school, manage key events and communications; to support the Bursar in the delivery of an excellent service culture and professional administration; and to lead aspects of health and safety alongside the Bursar.
Role specification:
* Start Date: November 2025
* Working hours: The School is able to be flexible, approximately 40 hours per week, between the hours of 08:00-18:00. This is a full time, year-round position with occasional weekend work and attendance at School events and functions.
* Holiday provision: 35 days + 8 Bank Holidays per annum.
* Salary: dependent on experience
Role Overview:
Headmaster's Executive Assistant:
* Support the Headmaster and SLT in the smooth running of school operations.
* Manage the Headmaster's diary and contacts, including for external events (e.g. ISI inspections, conferences), arranging travel and accommodation, coordinate meetings, preparing notes and briefings accordingly.
* Coordinate meetings (e.g. SLT), producing agendas, taking and distributing minutes.
* Oversee parental communications, liaising with Headmaster and SLT.
* Attending school functions, and trips, as requested by the Headmaster outside of normal school hours.
Administration:
* Liaise with other support departments, including Admissions & Marketing (e.g., pupils leaving and joining), Bursary and Clerk's office (Governing Council meetings and events).
* Support the Head of Co-Curriculum and Headmaster with the School calendar, including ongoing changes; and facilitate the weekly calendar/events meetings.
* Monitor the school calendar to ensure that all correspondence regarding events has been sent and that arrangements for the event, including risk assessments, are in place.
* Collaborate with Administrative team colleagues, including active contributions to meetings, covering colleagues' absence, handling parental and visitor queries, and monitoring various meetings and records.
* Support the Headmaster with the Senior School Reports process, keeping track of reports requested and ensuring they are sent to Senior Schools in a timely manner.
Health and Safety:
* Coordinate a range of Health & Safety measures and processes, along with the Bursar, Site Manager, and Educational Visits Coordinator; including overseeing activity and trips risk assessments, deputising as Health and Safety Coordinator.
* Support the Bursar in coordinating the School Health and Safety Committee and leading a range of tasks under its remit (including but not limited to: accidents, incidents and near misses; control of infectious diseases; creating and ensuring the implementation of actions plans).
* Act as a First Aider as required.
Other Duties:
* Support school events (e.g., Sports Days, Open Days), including occasional weekends.
* Carry out lunchtime or break time duties as required.
* Assist with invigilation where required.
* Always promote safeguarding and the welfare of the children in the school's care, in accordance with the school's safeguarding policies.
* Be conversant with and adhere to the school's Child Protection & Safeguarding, First Aid and Data Protection policies.
* Uphold the ethos and values of St John's Beaumont School.
* Undertake additional training for the better performance of duties.
* Any other reasonable task as directed by the Bursar, Headmaster, or Head of Boarding.
