The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

The Role:
Our Intelligence Units are busy offices responding to some of the most complex and high profile cases in Surrey and Sussex. Each of our hub teams has a Support Assistant performing an administrative function to help keep things running smoothly with effective diary and email management and accurate record-keeping.

Intelligence Support Assistants manage the office diary and keep track of our meeting cycles, and so we are looking for somebody who is well organised with a high level of personal responsibility. You will collate updates and present timely information to decision-makers. You will take minutes and update systems with details of decisions made and actions taken.

We rely on accurate information to make risk assessments and Support Assistants play a critical role in inputting data relating to threat, risk, vulnerability, and harm. You will monitor and track our risk assessment processes. You will liaise with risk owners and review and update and corresponding data records. You will have a keen eye for detail and ensure the accuracy, relevance, and timeliness of data submissions and reviews.

In addition to diary, email, and process management, Support Assistants may help with transcription, typing, and document production. You will be liaising with staff, officers, supervisors, and senior management, so will need to be able to communicate clearly.

Key Responsibilities:
Intelligence Support Assistants are responsible for scheduling and supporting our risk assessment processes relating to Organised Crime Group Mapping (OCGM), Management of Risk in Law Enforcement (MORILE), County Drugs Lines (CDL), and other areas of threat, risk, vulnerability, or harm.

You will be responsible for inputting data to local, regional and national systems to fulfil our obligations under the Management of Police Information Act (MoPI) and as required by SEROCU and the NCA.

You will be responsible for populating document templates to support the Intelligence Department contribution to Tasking Coordination and status drift processes, including performance data and spreadsheets.

You will be responsible for liaising with colleagues and networking with the Intelligence Support Assistants in other intelligence hubs across Sussex and Surrey to maintain consistency in our standards and ensure that core workload is covered during periods of annual leave or sickness absence.

You must be capable of, and demonstrate, absolute discretion in handling matters of a personal, sensitive, and confidential nature.

Skills & Experience

We are looking for candidates with the following essential skills and experience. We will assess your application against these specific criteria, which should be clearly evidenced within your application form:

ESSENTIAL CRITERIA:
5 GCSEs grade C or above (or equivalent) to include English.

Well organised with a high level of personal responsibility – you must be able to demonstrate effective time management and prioritisation skills, with the ability to meet deadlines without constant or close supervision, You will also have the ability to work calmly and effectively when working under pressure.

Ability to work both as part of a team and independently – You will be able to demonstrate your ability to establish and maintain collaborative relationships with partners and colleagues. You must be able to demonstrate a flexible approach towards achieving team objectives and be willing to undertake a wide range of duties.

The ability to communicate clearly – you will have proven written communication skills, including the ability to produce clear, concise and accurate written records and reports. You will also be able to demonstrate excellent oral communication skills, being confident to initiate or respond efficiently with enquiries from staff and partners, and demonstrating a customer service focused approach to dealing with enquiries.

Good IT skills with a high level of data quality and accuracy– You must be able to demonstrate competence using MS Office software including Word, Excel, and Powerpoint, with experience of email and diary management using MS Outlook. You must have accurate keyboard and data entry skills and will be able to assess information for data quality and accuracy against given standards.

The ability to quickly acquire and apply knowledge - You will have the ability to learn and apply skills in Sussex Police IT systems. You will also be expected to learn and apply policies, procedures and systems relating to intelligence and risk management to ensure that intelligence and data is managed correctly.

DESIREABLE CRITERIA:
Previous experience of working within the police or a law enforcement setting is desirable but not essential.

The ability to assess information against given thresholds and standards with previous experience of assessing and making sense of relevant information is desirable.
