Reporting to the E&F Business Admin Manager, the postholder will support the delivery of a comprehensive, effective and customer focused Estates & Facilities business administration service (Hub) supporting the leadership team.

The operational Trainer at BTHFT provides induction, mandatory & development training to the estates and facilities directorate.

The postholder will need to communicate within their own team and the wider Estates & Facilities Team producing reports and following up on actions as required.

Duties will include supporting the Business Admin Manager with overall management of administration and training systems to enable, monitoring, analysis, and production of reports to provide assurance regarding performance such as, attendance, sickness absence, appraisals, recruitment, auditing, compliance, training, and service specific performance targets.


Main duties of the job

The postholder will be responsible for the management, leadership and development of a teamdelivering training, ensuring performance & compliance. The postholder will be responsible for delivering and monitoring training requirements of the directorate.

The job holder will be expected to work on their own initiative and as part of a team to ensure successful delivery of the business management services. The postholder will demonstrate a practical application of a range of administrative systems, processes and organizational policy and procedure.

Job responsibilities

Daily Delivery of mandatory training for staff across the E&F Directorate, this may include supporting members of staff with additional needs in a group or 1-2-1 setting.

Provide practical, hands-on training across a variety of subjects.

Plan and publish training calendars.

Observe workplace practice and arrange induction paperwork.

Ensure employee training files are up to date through using ESR and local files, this will include producing reports to ensure compliance within the directorate

Processing invoices, including validation with other services as may be required

Person Specification


Experience

* Significant experience delivering training in a professional or healthcare setting
* Significant administrative experience including the devising and managing of electronic information systems.
* Experience of organising meetings, and liaising with key stakeholders and external agencies
* Experience of being able to extract and report on data from management software systems.
* Previous NHS experience


Skills

* Ability to work confidently, efficiently and effectively with colleagues, key stakeholders and other Trust staff.
* To have the skills to be persuasive, empathetic and negotiate as required.
* Excellent interpersonal skills to communicate effectively with a variety of staff groups at all levels
* Clear Communicator with excellent writing, data entry and presentation skills; capable of constructing and delivering clear information to Facilities staff and service users
* Ability to provide and receive complex and sensitive information.
* Excellent analytical skills in order to interpret data/information in order to interpret data/information in order to create reports and statistics for use by the Facilities Manager.
* Ability to meet deadline whilst working under pressure in a busy and stressful environment with frequent interruptions.
* Ability to problem-solve and use own initiative working within limits of responsibility.
* Excellent keyboard and IT skills including Word, Excel and Microsoft Office
* Ability to plan and organise own time


Knowledge

* Knowledge of the Facilities Service sector


Qualifications

* GCSE pass or equivalent in Maths and English
* Hold a recognised and relevant administrative qualification.
* Hold NVQ level 3 or equivalent in administration.
