We are a boutique data consultancy and are currently seeking an Office Assistant to join us on a temporary basis (Fixed term contract) initially with a possibility extension. The role will be required to be present regularly (e.g. week to week) in our Newbury office but will also offer the flexibility to work from home regularly. The Role Details: - Ideally you will have excellent availability to join us soonest to shadow our current job holder. - We will initially offer the role on a 6 month fixed-term contract (likely to be extended); - working ideally 3-4 days per week (covering approx. 22.5 hrs). - will be ideally be based from our Newbury, Berks office but with flexibility to work from home across the working week. Remits: This role supports the Central Services function with a range of office administrative duties. This role is a pivotal cog in within the Central Services function, allowing a seamless day to day business continuity for the operations as well as long term forecasting & support for adequate preparation for new starters on-boarding, events and adequate business coverage on areas such as compliance training, insurances etc. You can expect to be covering, but will not be limited to: Supporting the teams with their travel booking requirements, e.g. hotels, rail, flight bookings, travel insurance. Central point for equipment, including building of laptop devices/profile, collation & distribution of laptops via couriers (for new starters and leavers), first point of contract for all staff requiring tools and tech. Office purchasing: including stationery, office snacks, business insurance, licences etc. Office management remits: such as PAT testing, First Aid trainer renewals, H&S remits, landlord contact etc. Asset log and audit checks Events management – manage and support company events such as Charity day (annual), Xmas party, support on Business Dev events such as bookings, travel assistance, catering etc; ensure events calendar is reflective. Booking of company-wide training needs, which may include first aid refreshers, fire marshals updates as well as more specific tech based training needs. Support and manage Central Service remits such as Birthday Wheel and Work Anniversary gift benefits (purchase of gifts), leaver cards/gifts in conjunction with line managers etc. There may be some light support required from time to time to areas such as Finance or People team (HR/Recruitment) functions within the Central Services team, such as reconciliation and/or chasing of expenses receipts, or invoice reconciliation/allocations, support with on-boarding of new starters on the day (showing around offices etc). We want you to bring your own personality and approach to the role, but you’ll also need: Required Skills and Experience Previous experience in a similar role or function highly desirable Experience handling office administration tasks such as organising travel, managing office supplies, and coordinating events Familiarity with purchase orders, timesheet management systems, statements of work, and resource allocation systems would be an advantage an overview of basic IT functions, such as admin rights, lap top builds, system updates could be useful - training will be given! Excellent communication skills (verbal and written) and the ability to liaise with internal stakeholders Strong organisational skills with the ability to manage multiple tasks efficiently Software Proficiency: Advanced in Microsoft Office Suite, CRM tools (HubSpot would be advantageous but not essential), and financial software (ideally QuickBooks) may be useful to have! Experience in a consultancy, professional services, or SME environment is beneficial Required Characteristics: Strong attention to detail and accuracy in administrative tasks Ability to work independently while collaborating effectively with operation teams and wider staff in post.
