Job Description


Key Responsibilities

1. Training & Compliance Records

· Maintain accurate and up-to-date records of all catering team training (e.g. food hygiene, allergen awareness, health and safety).

· Monitor training expiry dates and proactively schedule renewals.

· Ensure compliance with internal policies and external regulatory standards.

2. Health & Safety & EHO Compliance

· Co-ordinate and record regular kitchen health and safety inspections.

· Maintain documentation required for Environmental Health Officer (EHO) inspections.

· Ensure all compliance records (cleaning schedules, temperature logs, HACCP documentation, etc.) are complete, accurate and audit-ready.

· Support preparation for inspections and audits, including Navitas requirements where applicable.

3. Financial Administration

· Input supplier invoices accurately into the kitchen stock or procurement system.

· Support stock control processes by ensuring data is up to date and correctly recorded.

· Liaise with suppliers and internal finance teams where necessary to resolve discrepancies.

4. HR & Staff Records

· Maintain accurate and confidential HR records for all catering staff.

· Track absence, holidays, training completion and employment documentation.

· Support onboarding processes for new starters within the catering team.

5. Event Administration

· Liaise with the Commercial Team to ensure all Event Requirements are received in line with expected deadlines

· Liaise with the Commercial Assistant to co-ordinate event staffing and to maintain expect levels of staff cost

· Deliver on the day event plans for approval by the Executive Chef and Commercial Team.


Qualifications


Person Specification

Essential

· Strong administrative and organisational skills with excellent attention to detail.

· Experience of maintaining records and working with compliance documentation.

· Confident using IT systems, including spreadsheets and database systems.

· Ability to prioritise workload and meet deadlines.

· Experience in a catering, hospitality or school environment.

· Strong communication skills and ability to work collaboratively with teams.

Desirable

· Knowledge of food safety standards, HACCP and EHO requirements.

· Experience of stock control or procurement systems.

· Familiarity with HR record-keeping processes.

· Highly organised and methodical.

· Proactive and able to anticipate requirements.

· Discreet and professional when handling confidential information.

· Committed to maintaining high standards of safety and compliance.
