Audiology Assistant Service Manager

We are looking for a Band 6 Assistant Service Manager to lead and manage the administrative support across the service (adult audiology, paediatric audiology and auditory implants). The role is both strategic and operational and includes coordination of patient waiting lists, management of the PTL, data reporting and analysis, together with providing high level administrative support across the service. The post holder will be a member of the Audiology Senior Leadership Team and will therefore be involved in strategic decision‑making across the service. The ability to lead admin‑related service‑development projects is a must.


Main duties of the job

This varied role involves close working with senior audiology clinicians in leading and managing the Audiology Service. The post holder will manage a team of five administrative colleagues and will be expected to do so with kindness, adopting a coaching approach. They will have responsibility for the staff rota and will work with senior clinicians in the dynamic management of staffing. Management of the PTL will include data analysis to inform strategic decision‑making across the service. The role also involves the project management of admin‑related service development projects.

The Audiology department uses several IT‑based systems to manage clinical and administrative activity; therefore confidence with electronic patient management systems, and the ability to develop competence with unfamiliar software is highly desired.

Excellent communication both within and external to the organisation is required including communication with service‑users (usually to answer telephone queries from families), and with clinical and non‑clinical staff. A key relationship is with the Ear, Nose and Throat Department (ENT), and the post holder is required to liaise frequently with ENT administrative staff and managers.


About us

OUH is one of the UK's largest teaching hospital trusts. The Audiology Service is concerned with the diagnosis and management of hearing loss, tinnitus and balance problems in children and adults. The service sits within the Specialist Surgery Directorate and spans both adult and paediatric audiology as well as auditory implants. The audiology team consists of about 35 healthcare professionals, including Audiologists and Speech and Language Therapists who are supported by a team of five administrative colleagues.

Applicants should be qualified to degree level in a subject which includes business administration and management (or be able to demonstrate knowledge gained from equivalent training and experience) and have previous experience in an NHS administrative role, including evidence of line‑management and leadership. The successful applicant will be a self‑starter who shows initiative, is good at problem‑solving and is a quick learner. They will be able to demonstrate excellent leadership skills, have a positive approach to work, be a team‑player and will be flexible depending on the demands of the service. You will be based at the John Radcliffe Hospital in Oxford. Some home‑based working and/or flexible working patterns may be possible.


Job responsibilities

Work occurs during office hours. This is a busy role and the ability to be flexible and prioritise tasks is a must; the postholder is required to manage their own workload with minimal supervision.

Qualifications

* Qualified to degree level in a subject including business administration and management, or able to evidence knowledge acquired by equivalent training and experience
* ECDL or equivalent


Experience

* Substantial experience in a similar role
* Extensive experience in the National Health Service, preferably in secondary care and preferable including the use of hospital IT systems
* Line‑management of administrative staff including dealing with management issues such as performance, absence, annual leave, appraisals and other HR issues that may arise
* Use of databases and generation of reports
* EPR/PTL
* High level use of: Excel, Word, Outlook, Power Point
* Managing own workload with minimal supervision
* Analysis of complex issues and evidence of dealing with issues in an autonomous manner.
* Maintenance of intranet and internet pages


Knowledge

* Data protection and confidentiality
* Results analysis and audit
* Trust policies & procedures; working knowledge of hospital systems
* Knowledge of audiology and ENT‑specific specialised terminology


Technical skills, personal qualities and abilities

* Excellent standard of literacy and numeracy with attention to detail
* Prioritise own work in the context of multiple demands from various members of the team
* Clinic set‑ups and manipulation thereof
* Ability to deal with stressful situations such as tight deadlines and forceful complainants in an environment of frequent interruptions
* Exercise judgement when dealing with enquiries, to evaluate the situation and resolve problems within remit, escalating issues appropriately
* Evidence of innovative, positive approach to management problems
* Ability to undertake audits
