The Role
As an Administrative Officer/Executive you will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing the facility upkeep, office stock, vendor management, preparing regular reports (e.g. expenses and office budgets) and organizing office events. Good to have working knowledge of work environment, office equipment and office management tools.
Key Responsibilities
- Manage upkeep (including equipment and tools) and cleanliness of office space ensuring it is ready at all times.
- Manage office supplies stock and process approvals/place timely orders.
- Prepare regular reports on expenses and office budgets.
- Answer employee queries and provide support via Global Helpdesk and other channels, including clients.
- Provide secure access to visitors/clients and process requests in a timely manner, liaising with building security and management.
- Book meeting rooms and ensure support for all client and meeting requirements.
- Distribute and store correspondence (letters, emails, packages) and manage dispatch/logistics through vendors, including liaison with building management.
- Manage transport, company car allocation, insurance, recoveries and coordinate with vendors.
- Plan, support and manage in‑house and external client events as required.
- Deploy operational safety processes and procedures of the building as per SOP.
- Update reports using corporate reporting tools.
Your Profile
- Experience as an administration officer or facility management, transport and logistics experience is an added advantage.
- Experience with office management software such as MS Office (MS Excel and MS Word).
- Strong organisational skills with a problem‑solving attitude.
- Excellent written and verbal communication skills.
