The Group's lawyers are structured into teams providing advice and representation in the following disciplines: Commercial Dispute Resolution Charities Law Employment Law and Business Immigration Corporate and Commercial Legal support Parks Marinas and Leisure Franchising The Commercial Dispute Resolution Team deal with all types of general business (contractual) and boardroom disputes, franchising, and insolvency, using a range of dispute resolution processes, including negotiation, litigation and mediation. This is a new role, designed to provide support to a busy and growing team in pursuit of IBB's vision. It will involve working closely with all members of the team to provide support on client, document, matter and financial management as well as providing professional and practice development support. It is predominantly an administrative role. Key Responsibilities Legal and related tasks as required including: Checking lengthy documentation and proofreading as required Talking with client's and taking instructions where appropriate and recording these instructions effectively. Managing the file on the system Liaising with the fee earner Administrative tasks to include: File opening in accordance with IBB procedures to include data input, completion of internal forms and procedures, preparation of anti-money laundering documentation, setting up the paper file and file labels, preparing the initial letters for fee earner review Filing incoming correspondence, outgoing copies, invoices, reports and paper files in/out of the filing system. Assisting with file checking and organising in preparation for semi-annual quality audits. Ad hoc data input as and when required (CRM and PMS) Taking telephone calls Supporting other members of the team where appropriate Dealing with new client enquiries Closing files Managing the matter list Cost reviews Posting slips Diary management Managing the iManage Share Portal Billing tasks to include: Assisting Fee Earners will disbursement billing and queries from accounts on bills Liaising and working closely with Accounts Dealing with telephone queries from clients and accounts in relation to bills Develop own self-organisational and interpersonal skills so that: work is prioritised and progressed you demonstrate a balance of working on your own initiative and seeking advice or guidance Partners are aware of your workload and specific issues which arise in your work You maintain a flexible and proactive approach to work .• Monitoring forthcoming changes to litigation procedure and procedure; participating in training Providing marketing and business development support as required, CRM data input and providing support for list/task management. Person Specification Qualifications Educated to degree level standard or equivalent, preferably in law. Skills and Experiences Excellent organisational and communication skills with the ability to use own initiative, plan tasks and work to deadlines Strong literacy, numeracy and technological skills Advanced working knowledge of Microsoft applications including Outlook, Word, Excel and PDF programmes Some knowledge of legal (civil) procedure gained through practical work experience or study (essential) Experience of working in a legal environment (desirable) Reliable, adaptable and flexible: able to embrace change. Is responsive to different ways of working and learns new tasks quickly. Prepared to undertake all tasks as required by the role with a positive "can do" attitude.
