We're looking for a proactive and organised Administrator to join our expanding Mitie Fire Protection team. This role is key to keeping our operations running smoothly, ensuring our national contracts are supported, well-coordinated and compliant. You'll work closely with Contract Managers, Surveyors and clients to keep workflows moving and maintain high standards.
What You'll Be Doing
In this role, you will manage shared inboxes and triage incoming queries professionally while coordinating engineers' schedules, arranging access, and issuing job packs and RAMS. You will also raise purchase orders, process GRNs, track materials, and provide support to both accounts payable and accounts receivable. The position involves maintaining trackers, spreadsheets, and compliance logs using Excel, as well as uploading evidence and updating client portals or CAFM systems. You will produce compliance packs, including photos, certificates, and sign-offs, and support quotations, variations, and overall documentation control. Daily liaison with colleagues and clients is essential to ensure that programmes remain on track.

What We're Looking For
We are looking for a candidate with strong administrative experience, ideally within facilities management, construction, or fire safety. The role requires solid knowledge of Excel, Word, and Outlook, along with the ability to communicate confidently and build positive relationships. Excellent organisational skills, attention to detail, and consistent follow-through are essential. The candidate should be able to prioritise tasks, solve problems effectively, and meet deadlines. Experience with SAP or CAFM systems such as Fixflo or CAFM Live would be advantageous.
