We are looking for a Digital Events Production Executive to support the Digital Events team with the smooth delivery of webinars and the associated digital campaigns across all William Reed brands. Working closely with the Head of Digital Event Development, Heads of Production and Video and the Webinar Producers, the Digital Events Production Executive will play a pivotal role in providing essential administrative and operational support, including managing digital asset workflows, maintaining documentation, and supporting both internal and external stakeholders to deliver high-quality digital events.
What you’ll be doing:
1. Administrative Support: Coordinating and managing the daily administrative tasks for the Digital Events team, including as and when necessary, scheduling meetings, preparing agendas, taking minutes, and following up on action items
2. Event Logistics: Assisting with the logistical planning and execution of digital events, including support in managing event calendars and with webinar bookings mailbox coordination
3. Client and Stakeholder Liaison: Acting as a point of contact for internal teams (sales, marketing, editorial) and external partners (clients, speakers, sponsors), ensuring timely and accurate communication
4. Digital Asset Management: Overseeing the collection, verification, and organisation of all digital assets and materials required for webinars, ensuring they meet specifications and are delivered on time
5. Database and Documentation: Maintaining and updating databases of clients, speakers, and event participants, and organising and updating how-to guides, specifications, and guideline documentation to support internal and external communication
6. Reporting and Quality Assurance: Compiling and distributing regular reports on lead extracts as and when needed, as well as reviewing digital assets for quality and compliance with brand guidelines
7. Process Improvement: Identifying opportunities to streamline administrative processes and contributing to the development of best practice guides and training materials
8. Campaign Tracking: Monitoring the progress of multiple webinar campaigns, ensuring deadlines are met and stakeholders are kept informed
9. Team Collaboration: Participating in regular team meetings, contributing ideas for improving digital event delivery, and supporting colleagues as needed

What you’ll need:
10. Previous experience of working successfully in an administration role in a busy and complex work environment
11. Excellent time management and organisation skills, with the ability to manage multiple projects and priorities effectively and work to strict deadlines
12. Fantastic accuracy skills and attention to detail, with an aptitude for processes and dealing with data
13. Enthusiastic, self-motivated and proactive with fantastic teamwork and communication skills, both written and verbal, to collaborate confidently across internal teams and with external stakeholders
14. A flexible and adaptable approach with the ability to use own initiative and work independently, but also recognise when to seek guidance
15. A passion for exploration and learning of new digital tools and technologies
16. Proficient IT skills including MS Office (Word, Excel, PowerPoint, Outlook, etc)
17. Experience using online project management tools such as Monday .com or Trello is desirable, but not essential
18. Flexibility in working hours to align with international stakeholders or events
