Job responsibilities
To manage the practice on behalf of the partners in aneffective and cost effective manner to enable the practice to meet agreed aimsand objectives within a profitable, efficient, safe and effective workingenvironment and maintaining a happy and committed team. Main areas ofresponsibility being premises, staffing levels, staff development and day today running of the surgeries.
Service Requirement
To manage personally and through delegation to ensure thesmooth running of all practice processes. Managing personally and throughdelegation the development of practice staff. To work closely with thepartners, CCG and other agencies to develop and improve the service we provide.
To be aware of national, local and practice qualitystandards for chronic disease management, Key performance indicators, DirectEnhanced Services and Local Enhanced Services. To monitor and report on theseindicators in accordance with CCG and practice requirements.
Finance
Payment of suppliers either by Cheque or BACS system
Payment of Partners Drawings
Overview of Practice accounts
Process monthly payroll /manage overtime and sickness
Overview and introduction of pension for administrativestaff
Overview of QOF liaising with Nursing team and GPs
Overview of Bolton Quality Contract liaising with nursingteam and GPs
Manage staff pay and holidays
Premises and Equipment
Maximising available space to achieve optimum use ofclinical rooms
Co-ordinate room usage and moves as required
Maintenance of common equipment
Ensure equipment complies with appropriate legislation (PAT testing own equipment ,Health and Safety etc.)
Ensure that the practice complies with aspects of Healthand Safety legislation
Patient Services
Oversee, develop, and manage an effective appointmentssystem
Oversee and organise surgery timetables, duty rotas andholiday cover
Monitor and assess practice performance against patientaccess and demand management targets
Develop and maintain new and existing services
Evaluate suggestions
Deal with difficulties / complaints. Respond to patientcomplaints including reporting to NHS england
Manage and meet with patient group
Staffing
Ensure the smooth running of the surgeries throughadequate staffing levels including co-ordinating the doctor or nurses annualleave or time away from the practice.
Manage trainee staff inductions
Oversee staff job descriptions, contracts and ongoingpersonal development plans and training.
Manage staff reviews, appraisals and inductions
Arrange and attend staff meetings.
Human Resources
Oversee the recruitment and retention of staff andprovide a general personnel management service.
Ensure all staff are legally and gainfully employed.
Advertise vacancies, select candidates for interview,obtain references and participate in interviews as appropriate.
Ensure all employment checks and DBS certificates areapplied for
Organise and oversee staff induction and training toensure all staff are adequately trained to fulfil their role.
Develop and implement effective staff appraisal andmonitoring systems
Support and mentor staff as both individuals and teammembers.
Overview of workload and staff development planning.
Deal with staff difficulties /complaints/ grievances/disciplinary actions.
Ensure all contracts of employment are provide to allstaff and that relevant employment legislation is followed.
Ensure all staff have job descriptions and these areupdated when necessary

Organisation
Convene meetings, prepare agendas and ensure distributionof minutes as necessary.
Approve visiting speakers/ meetings and training
Develop practice protocols and procedures, review andupdate when necessary making sure that Doctors and staff are informed of allpolicy changes
Manage the procurement of practice equipment, suppliesand services.
Ensure that the practice has adequate disaster recoveryprocedures in place.
Liaise with CCG IT support to resolve hardware issues.
Practice co-ordinator for all IT hardware
IT and InformationManagement
Ensure only the appropriate personnel have access toinformation in line with their role.
Motivate, support and monitor staff in the use of ITevaluate training
Review the maintenance of the Practice website
Change telephone messages as required
