This will include operational support, soft services, fleet management and all other associated areas. You will assist the Facilities Manager as required and act as point of contact for the business end users and will work collaboratively across the business to liaise on maintenance issues. Responsibilities Acting as point of contact for site/building management, expansion opportunities and facilities issues, including maintenance Managing maintenance of the company fleet, this includes but is not limited to; MOT’s, Tax renewals and vehicle pack checking. Supporting the Facilities Manager in the co-ordination of FM project and refurbishment works Liaising with and booking contractor site visit for FM services. Acting as the FM POC for escorting and ensuring that the contractor registration process is adhered to. Liaise with suppliers about upcoming deliveries and chase outstanding orders Coordinating staff uniform and personal protective equipment (PPE) orders and placing these with suppliers. Ensuring both sites have correctly stocked stationary cupboards, kitchens and bathrooms. Maintaining fully equipped meeting rooms with hospitality stock including beverages, and janitorial supplies. Checking and maintaining First Aid boxes, inspecting them on a weekly basis Consumable management process for common parts within the manufacturing process Assisting with lunch ordering and co-ordination as required Demonstrate in daily activities a commitment to health and safety in the workplace by always ensuring tasks are performed in the safest possible manner Report all hazards and incidents that the individual is party to, or observes, in the correct manner. When required or directed, participate in any health and safety training. Perform other FM related duties as required and undertaking any other reasonable management request. Skills Essential Strong administrative experience in the workplace Previous experience working in or assisting with facilities and maintenance You will have an understanding of the services that are delivered to a business and will possess a ‘can-do’ attitude to your work Team player who is capable of working autonomously Good verbal and written communications skills A professional and proactive approach to work, IT proficiency in Microsoft 365, specifically Word, Excel and Outlook Attention to detail, combined with excellent organisational skills and a passion for accuracy Desirable Previous use/administration of a task or workflow management system or CAFM. Previous fleet management experience is desirable.
