Estates Administrator (Financial)
Location: Matfen, Northumberland
Working hours: Hours 40 hours per week although this is negotiable for the right candidate
Remuneration: Salary commensurate with previous experience/ relevant qualifications
About the Role
We are looking for a highly organised and proactive Estates Administrator (Financial) to join our busy estate office. This is a varied and rewarding role, offering the opportunity to work across finance, property management, compliance, and estate operations.
You will be responsible for financial administration, tenancy matters, health & safety compliance, and supporting the smooth running of our holiday cottages and estate activities. This role will involve liaising closely with the Owners, Estate Manager and Financial Consultant. The successful candidate will likely be someone who enjoys working in a small, collaborative team, has excellent attention to detail, and thrives in a role with diverse responsibilities.
Key Responsibilities
Financial Administration
* Manage purchase and sales ledgers across the various Estate's businesses including Farming, Forestry and Property (Landmark Key Accounts Software)
* Working with the Estate Manager to monitor maintenance budgets and utilities
* Manage tenancies using Landmark Key Property Software.
* Reconcile bank statements and produce monthly cashflow & debtor reports
* Administer payroll (Sage)
* Submit VAT returns
* Manage tenant deposits and service charge reconciliations
Renewable Heat Incentive (RHI)
* Submit quarterly returns to Ofgem
* Order biomass fuel supplies and liaise with Estate Manager on stock levels
Health & Safety Compliance
* Arrange and record statutory inspections (fire systems, PAT testing, asbestos, electrical, EPCs, roadside tree surveys, etc.) for offices, farm and holiday cottages.
* Organise staff H&S meetings and maintain training records
* Stay up to date with legislative changes
Holiday Cottages
* Liaise with housekeeping and booking agents
* Manage guest welcome packs, promotions, and repairs/maintenance
* Support forward planning of bookings and pricing
General Estate Administration
* Oversee estate vehicles, insurance, and utility contracts
* Maintain contractor database and insurance records
About You

Experience Required
* Financial management software (ideally Landmark Key Prime)
* Payroll experience
Desirable but not essential:
* Farm or estate administration experience
* Property management background
* Health & Safety administration knowledge
Working Hours & Benefits
* Core hours: 08:30 – 16:30 (negotiable)
* Competitive salary (based on experience and skills)

Pay: £15.00-£18.00 per hour
