Location: This role is based in our office in Welwyn Garden City with travel to Liverpool approximately 4 times a year.
Key Responsibilities
1. Ensure the correct starter and leaver documentation is received and actioned appropriately.
2. Ensure the accurate processing of end to end monthly payrolls with the production of payroll journals and reports to specified deadlines.
3. Ensure RTI reporting plus all other HMRC compliance is adhered to by their required deadlines.
4. Supply monthly payroll reports to each Finance department across the Group.
5. Respond to and resolve colleague payroll queries.
6. Supply information plus any other ad hoc payroll / employee data report as required.
7. Maintain the salary review data in preparation for any potential annual increase award.
8. Ensure Pension Auto Enrolment duties are fulfilled in order to maintain compliance with the Pensions Regulator.
9. Rotation of payroll processing to ensure all team members are up to date with processes and procedures.
10. Support the Payroll Manager with Payroll Administration including file uploads to the payroll system, generating leaver's letters, sending files to 3rd party providers and ad hoc support as required.
11. Maintain awareness of current statutory payments and legislation to ensure accurate input of all employee data to minimise any financial risk to the business.
12. Support the Payroll Manager with the annual gender pay gap report.
General HR Administration
1. Provide a people administration service that includes creating offer letters, contracts of employment, references, changes to terms and conditions letters.
2. Accurately onboard all Group new starters and update, maintain colleagues' changes onto the HR People portal system and maintain colleague electronic personal files.
3. Respond to employment references.
4. Respond to and resolve colleague queries via the HR inbox.
5. Be a subject matter expert for HR administration processes.
6. Maintain accuracy of all data held within our HR/Payroll systems.
7. Help support the business with utilizing the HR People Portal.
8. Responsible for ensuring the information within the HR SharePoint site is up to date and easy to access.
9. Responsible for day to day benefit administration for example Electric Car scheme, private medical and cash plan.
Other Duties
1. Submission of personal information and payment uploads to 3rd party providers including company benefits & pension within agreed timescales.
2. Monthly top up of EDB cards plus staff savings voucher orders and top up requests as required.
3. Maintain compliance of GDPR.
4. Raising of HR invoices.
5. Supporting the improvement with HR/Payroll administration processes and ways of working.
6. Supporting with HR projects when required (e.g. administering employee surveys via the Glint platform).
Qualifications and Experience Requirements
1. You have 2 years’ experience working within a payroll and HR administrative function.
2. You have excellent working knowledge of Microsoft Office (intermediate to advanced level of Excel).
3. Experience with end to end payroll processing.
4. You have knowledge of tax and NI codes and statutory payments.
5. You are hands-on, with a self-starter mindset.
6. You have a proven track record of highly-professional client service in a dynamic environment with the ability to work to tight deadlines.
7. You have experience of Auto Enrolment and year-end process.
8. You have payroll systems experience.
9. You have a relevant Payroll or HR qualification or are willing to work towards it.
