About the Role

We are looking for a problem‑solving clinical administrative support colleague who will work closely with our team of occupational therapy clinicians based at Nevill Hall Hospital and other sites within Aneurin Bevan University Health Board. Our administrators are a key part of the experience for people using our services, an essential team member to support clinical staff and a vital part in information collection on the quality, outcome, and value of the service we deliver. You will be part of a small team of occupational therapists, technicians and support workers and you will need to demonstrate the ability to prioritise your own workload and show initiative to ensure that lean working is carried out across the service.


Responsibilities

* Act as a point of contact for telephone calls and queries for the occupational therapy team, ensuring that effective systems are in place to deal with and forward to the relevant member of the team appropriately.
* Provide excellent administrative support across the team and support managers as required.
* Maintain an efficient and effective filing system, both personally and across the shared drive.
* Attend meetings, record accurate minutes, type, and distribute as required.

Knowledge of internal NHS systems such as WPAS and CWS is desirable, but training can be provided to the successful candidate.


Qualifications and Skills

* Excellent communication, administrative, clerical and IT skills.
* Strong team player with excellent communication skills.
* Excellent telephone manner; direct contact with patients/carers and health professionals.
* Ability to embrace change and be committed to best practice.
* Desirable: ability to speak Welsh; Welsh and/or English speakers are equally welcome to apply.
