Overview
The role-holder will support the People and Education department to ensure that all admin processes run smoothly and efficiently and are easy to use and navigate. Responsible for assisting and maintaining the HR system on a daily basis and ensure that data is uploaded onto the systems accurately to ensure that all relevant information is available to the business to support the workforce, covering both permanent and temporary resource.

Duties
Role Responsibilities
Service Delivery
* Co-operates and communicates with all employees/managers at all times.
* Answer HR queries from employees and external providers by phone and email.
System Administration
* Organises and maintains employees’ personnel records/files.
* Support change management processes.
* Assist in updating the HR system daily.
* Update mandatory training completion certificates and chase outstanding mandatory training.
* Create and issue reports when requested by managers.
* Update Click Travel with new colleagues and remove leavers; check Premier Inn and Travelodge accounts against Click Travel.
* Book and approve travel for colleagues and managers when required.
Starters/Movers/Leavers
* Prepare new employee starter packs weekly.
* Carry out compliance checks for all permanent staff.
* Register and carry out compliance checks for all sessional and bank staff.
* Support the HR team to meet SLAs on offers, contracts of employment, and changes to terms and conditions of employment.
General Administration Duties
* Carries out other reasonable tasks as requested by the People Service Delivery Lead, People Business Partners and Chief People Officer.
* Supports People team with updates and maintains People Policies, Letters & Documents.
* Completes daily, weekly and monthly work schedules.
* Supports other members of the People team.
Quality Assurance
* Identify ways to improve quality and efficiency of services.
* Evaluate systems and devise new processes as appropriate.
Communication
* Attend team meetings and contribute to discussions and decisions.
* Disseminate information accurately and timely to support effective teamwork.
* Act as an ambassador for CHEC and maintain positive internal and external communication.
* Produce clear, legible, and consistent written documentation.
Professional
* Ensure actions and conduct align with CHEC policies and procedures.
* Identify personal development needs and participate in development opportunities and appraisal.
* Maintain confidentiality in all aspects of the role.
Other Activities
* Awareness and compliance with ISO9001, ISO27001 and GDPR regulations.
* Oversee and improve the management systems (IMS) with clear objectives and performance standards.
* Support a culture of learning, trust, and self-improvement.
* Any other duties as required.
