Job overview

To ensure the provision of day‑to‑day administrative functions in ED; making sure the areas are running effectively and efficiently and providing high standards of performance. With particular reference to patient experience and care, quality assurance and efficient administrative processes, we will supervise administrative staff.

To ensure the 24/7 smooth running of Reception and Patient Navigator role, including ensuring shifts are filled as soon as the vacancies are evident.

To pro‑actively assist with the management of issues raised at administration meetings as necessary.

To produce and manage admin rotas, ensuring appropriate and adequate cover twenty‑four hours a day.


Main duties of the job

* Supervise ED Administration staff
* Recruitment and training
o Assisting with shortlisting, interviewing and recruitment of staff
o Induction of new ED Administration staff to the department
o Training to ensure ED Administration staff are competent to cope in the event of a major incident and all mandatory training is up to date
o Completion of leavers and variation forms
o Following Trust Promoting Attendance Policy and completing return to work interviews as required
* Assisting with workforce data required by Human Resources, including completion of the blue positive reporting book/iPoint/E‑Rostering
* Assisting the ED Service Admin Manager with designing and distributing admin rotas, maintaining adequate level of staff including management of AL requests and escalating any issues
* Responsibility for checking bank shifts for authorisation by the ED Service Delivery Manager
* Reviewing staff as part of the KSF process and ensuring that staff have an ongoing training plan
* Assisting with coordinating of ED Administration meetings and ensuring robust communication between staff
* Ensuring that Admin staff are encouraged to complete their statutory and mandatory training


Person specification


Qualification and Training

* Business Administration NVQ level 3 or equivalent experience
* Child Protection Level 3
* Knowledge of Hospital systems including IClip Pro


Experience

* Experience of designing rotas
* Experience of working with senior level of staff and in managing confidential issues and matters
* NHS experience
* Significant experience in a supervision role


Knowledge and Skills

* Demonstrates commitment to a professional and high‑level service; a professional attitude to own work and the needs of others
* Able to act and set targets and standards for self and other members of the Reception Team
* High level of organisation skills
* Excellent level of IT skills including Microsoft packages and NHS patient databases
* Able to develop and apply creative solutions to problems
* Knowledge of policies such as Access to Medical Records Act and Data Confidentiality Act
