Job Summary
The East of England Imaging Academy (previously, Norwich Radiology Academy) was established in 2005 to provide high quality training to the Clinical Radiology training programme through a mixture of clinical experience, tutorials, simulators and use of imaging archived investigations. Education and training are the core purpose of the Academy; alongside the Clinical Radiology training programme, we also deliver multi‑disciplinary education and training for other imaging health care professionals in the East of England. As well as supporting training for a variety of imaging professions, the Academy also hosts some corporate and CPD events. This is an exciting opportunity for an experienced, motivated individual to join the Academy secretarial team.
Main duties of the job:
 * To work as part of a small team to support the efficient running of the Imaging Academy.
 * To provide supporting clerical and administrative duties as required.
 * To act as the first point of contact for queries regarding the facilities and training provided by the Academy.
 * To support the Academy Manager and Training Programme Director to manage the Academy as a fully functioning building.
Responsibilities
 * Provide secretarial and administrative support to the Consultant Staff and Radiology STs, including general office duties; attend to all communications and emails, assess content and priority promptly.
 * Act as essential first point of contact for all queries face‑to‑face, telephone and email.
 * Manage all queries in a timely and courteous manner, providing advice, guidance and information as required.
 * Accurately transcribe audio dictation and generate routine and non‑routine correspondence independently.
 * Assist in creating electronic teaching resources as directed.
 * Maintain a good working knowledge of Microsoft Office and utilise skills within the office.
 * Manage own workload and coordinate activities with other staff to ensure efficient service; provide cross‑cover for departmental colleagues during absences and holidays.
 * Take phone messages accurately and deliver to intended recipients at an appropriate time.
 * Maintain filing and retrieval systems accurately and promptly.
 * Organise and support meetings, including minute taking.
 * Exercise independent judgement and initiative when problems arise, taking appropriate action or referring to the right person.
 * Make a direct and positive contribution to the organisation of work.
 * Collate appropriate data and produce information for staff as instructed.
 * Process trainees’ annual leave and study leave requests with Medical Staffing and NANIME, informing all relevant departments and staff to coordinate services around leave.
 * Provide accurate and confidential information for data entry, strictly adhering to Caldecott, Data Protection Act and retrieving patient information via PAS, RIS, ICE and other departmental computer software programmes.
 * Assist in audit work, and at events, meetings, seminars and evening lectures as necessary.
 * Prepare appropriate paperwork for courses and conferences, including conference packs, badge names, delegate lists and other relevant information.
Qualifications
 * RSA level 2 or equivalent
 * Good general standard of literacy and numeracy
 * Good working knowledge of Microsoft Office
Experience
 * Previous secretarial experience
 * Experience of working within the NHS or healthcare/medical educational environment

 * Ability to work independently on initiative
 * Professional interaction with all staff across disciplines
