Why you?
The Events and Executive Assistant will provide a high level of professional support to the Managing Director and act
as the gatekeeper of the Executive and Operations Directors diary,
administrative support and liaise with the relevant head of Departments on
matters to ensure timely responses. The role includes planning events and
supporting the Events Sales team at Broadwick Soho. The balance of tasks within
this job may vary dependent on daily business demands.
Key
daily tasks include:
* Proactive
daily management of diary and organisation of the day-to-day schedule of
the managing Director and operations Director, to include the
identification and resolution of potential issues.
* Manage
the Managing Director’s in-box, prioritising and highlighting key
communications and responding as appropriate and agreed.
* Proactive
set up and management of meetings and all logistics ensuring the Executive
Committee/ Head of Departments are prepared in advance of meeting with all
necessary documentation and details.
* Manage
the Managing Director’s expenses.
* Respond
to telephone calls, acting as a filter to manage and control calls.
* Assist
with any projects the Managing Director is leading and working on.
* Attend
relevant team or project meetings to coordinate and capture action points.
* Assist
with planning internal and external events and issue internal function
sheets.
* Make
pre & post event calls, billing and posting of deposits etc.
* Responsible
for menu and name card printing support for the events operation team.
* Support
the coordination of external event vendors, complete risk assessments and
ensure all relevant insurance documents are on file ahead of the event.
