Job summary:
To provide a comprehensive, financial and confidential administrative support service to the Partners and Senior Leadership Team in the efficient and effective running of Boroughbury Medical Centre
What will you be doing?
· Provide confidential administrative support, including diary and meeting management for the partners and senior leadership team.
· Managing meetings – setting up rooms, creating agendas, taking minutes, writing and following up on action plans.
· Co-ordinate Learning events and Significant Events processes in line with agreed procedures.
· Maintaining the Practice's internal Governance, compliance and quality systems and procedures
· To ensure all external IT systems and hardware are maintained and to act as a point of contact internally and externally
· To assist with the analysis of information and/or data searches/research using the internet and the Practice's clinical systems
· To support senior managers in the administration of financial operations e.g., invoice and payment processing
· To work closely with and provide administrative/HR support to functional areas as required
· Actively driving a culture of best practice and work with colleagues to ensure change is implemented quickly and effectively.
· Maintain a safe working environment
· Manage and prioritise own work load
· Has a responsibility to participate in regular performance reviews in line with department developmental plans
Knowledge, Skills and Experience:
· Previous experience as a Personal Assistant or Business & Finance Administrator
· Educated to 'A' Level standard or equivalent
· Ability to communicate effectively at all levels both verbally and written
· Highly organised and self-motivated with a can-do attitude
· Accuracy and attention to detail
· Strong numeracy and the ability to perform routine calculations
· Experience within a fast paced environment
· Ability to maintain good relationships with all stakeholders
· A good knowledge of Microsoft outlook, word, excel and power point and Teams
· A strong team player who is self-motivated and flexible
· Is able to multi-task and remain focussed under pressure
All staff have a responsibility to undertake statutory and mandatory training as deemed appropriate
In addition to the duties and responsibilities listed above, the post-holder may be required to perform other duties assigned by the supervisor/manager from time to time
