We are seeking an enthusiastic Event Coordinator to join our dynamic team and contribute to the success of our globally renowned events. Reporting to the Director of Event Operations, you’ll play a key role in supporting the delivery of world‑class experiences, from global conferences and sponsored dinners to professional courses and bespoke client events. This role will primarily support senior team members on larger events while taking ownership of some global conferences and other standalone projects. You’ll be part of a collaborative, fast‑paced environment where creativity, organisation, and teamwork are key.
Key Responsibilities
* Logistics assistance: support venue selection, supplier coordination, and on‑site management to ensure smooth event operations.
* Collaborative event support: work closely with operations, production and sponsorship teams to design engaging experiences while optimising operational efficiency.
* Research and coordination: conduct research on venues, suppliers and production agencies, help develop our supplier network and assist with contracts and approvals.
* Event execution: support delivery of global conferences, sponsored dinners and bespoke events, handling venue coordination, F&B, branding, AV and timing to meet budgetary and quality standards.
* Technical support: manage online registration tools and event apps, ensuring technical aspects run smoothly.
* On‑site support: provide hands‑on assistance during events, liaise with vendors, assist with setup and breakdown, and ensure compliance with health and safety regulations.
Requirements
* Experience supporting the delivery of conferences, networking events or other professional gatherings, ideally in an international setting.
* Creative problem‑solver: adaptable, calm under pressure and able to think on your feet to find smart solutions when challenges arise.
* Highly organised and proactive: able to manage multiple tasks at once, maintain accuracy and professionalism in a fast‑paced environment.
* Collaborative team player: confident working closely with others while owning your own workload.
* Strong communicator: comfortable communicating with colleagues, clients, suppliers and venues.
* Flexible and reliable: willing to travel internationally and work occasional evenings in line with event schedules.
We expect you to be based in the London office at least once a week for collaboration and coordination. The role requires international travel, including visits to the US. Candidates must have eligibility to travel to the US, preferably under the ESTA visa program.

Compensation Range: £25.5K – £27K.
