Responsibilities

* Provide a professional and dedicated reception service, representing the customer as the first point of contact for all users of the building.
* Answer the switchboard efficiently and professionally, within a target of 5 rings.
* Announce callers when put through to the relevant extension; take messages when the call cannot be answered at that time. Ensure messages include time, date, caller’s name, company, contact number and reason for the call, if appropriate, and pass them to the recipient promptly.
* Greet visitors, log names and details in the visitor book on reception, and notify the appropriate tenant staff member.
* Produce and record weekly site occurrence reports detailing building access requests, call outs, and reactive breakdowns.
* Raise reactive jobs with the EMCOR UK Eastleigh service centre.
* Update notice boards with internal announcements and keep notice boards tidy.
* Project a professional and positive image at all times to both internal and external customers.
* Ensure security processes regarding staff and visitor access to Parkview House are adhered to.
* Assist with the distribution of incoming emails, particularly urgent messages, and notify the relevant person on receipt.
* Monitor the Parkview House car park and advise staff or visitors if parking is inappropriate.
* Operate and observe security CCTV to detect and respond to security threats, incidents or suspicious activities.
* Produce, record and issue Parkview House access control cards to visitors and tenants using the client’s BRIVO system.
* Assist line-manager with ad hoc duties for Parkview House and provide back-up administration support as required.
* Uphold and promote the good name of EMCOR UK at all times.
* Undertake any associated training and development courses and operate a clear desk policy with tidiness and housekeeping in the reception area.
* Develop an understanding of EMCOR UK to improve personal contribution and effectively interact with all staff.
* Carry out any other office duties as requested, which are normal practice.


Who you'll be

* SIA Licence
* CCTV experience is required
* Previous customer service experience is essential.
* Articulate with good interpersonal and communication skills; able to communicate with staff, colleagues and customers at all levels, both verbally and in writing.
* Experience of visitor management, telephone, and helpdesk systems is beneficial but not essential.
* Able to work independently and as part of a team.
* Able to organise and prioritise workload.
* Proficient with computers.
* Excellent people skills, including good listening and behavioural awareness with the ability to build effective working relationships.
