Personal Assistant, Chief Customer & Digital Office (CCDO)
Location: Edinburgh – Salary: £39,825–£44,250 – Full time – Hybrid working (minimum 2 days per week).
Job description summary: Provide strategic administrative support to the CCDO, ensuring efficient executive office operations and contributing to our organisational impact.
About this opportunity
In this role you will manage the office and serve as the first point of contact for the CCDO Director, dealing with colleagues and senior leaders. You will provide full secretarial and administrative support, ensuring speed, accuracy, and effective decision‑making to manage the Director’s workload.
Key responsibilities
* Diary & Inbox Management
o Coordinate the CCDO Director’s complex diary, planning and prioritising a fast‑paced schedule.
o Proactively manage correspondence and incoming queries, using judgement to determine priorities and actions.
* Meeting & Office Coordination
o Work with the Executive Assistant to manage the CCDO Director’s office, ensuring alignment with CCDO priorities.
o Prepare and collate meeting materials – agendas, briefing notes, follow‑up actions – liaising with other colleagues.
o Prepare and coordinate papers for Executive Committees, Boards, and other strategic meetings.
o Collaborate with the EA to coordinate leadership team meetings, off‑sites, and whole‑team events, including venue sourcing and budget management.
* Team & Collaborator Engagement
o Build positive relationships with the CCDO Director’s leadership team, the broader CCDO team, and other executive offices.
o Promote teamwork and effective communication.
o Co‑ordinate, support and manage internal and external events with the CCDO Director’s team.
* Administration & Record‑Keeping
o Support expenses, invoices, delegated authorities, approvals, and filing; resolve IT issues.
o Maintain high‑standard record‑keeping in line with Group policies and risk management requirements.
o Ensure flawless execution of all administrative tasks, supporting overall efficiency.
* Travel & Logistics
o Arrange travel for CCDO Director and the team in line with policy and budget; adjust plans as needed.
o Deliver flawless, cost‑effective travel arrangements.
