Purpose of the role:
Due to ongoing growth, Affinia is hiring a part-time, dual-role position covering Reception duties and Business Support administration. Ideally, the candidate will work Monday, Thursday, and Friday, but we are also open to Wed-Fri (total 22.5 hours per week). The role is a job share with one day shared.
You will be the welcoming face for clients attending the Halstead office, supporting client-facing teams and colleagues. The role reports to the Business Support Team Lead and involves assisting with daily operations to ensure high-quality administrative and office support.
Accountabilities:
The role requires excellent organizational skills and a strong understanding of service delivery within a financial services organization to improve efficiency and client service.
* Greeting clients and visitors, providing a first-class experience, and answering calls professionally.
* Maintaining office presentation, including meeting rooms.
* Managing office supplies such as stationery and refreshments.
* Ensuring the office environment is well-maintained, coordinating repairs and supplies.
* Handling incoming and outgoing post, including scanning, distributing, and saving documents.
* Updating hard copy and electronic filing systems.
* Managing monthly client requests and reminders.
* Sending documents for electronic signatures.
* Assisting with CS01 preparation and submissions.
* Supporting Accounts & Tax Return submissions.
* Organizing files and documents using our naming conventions.
* Archiving electronic and physical documents.
* Supporting the onboarding process for new clients.
Skills/Qualifications:
The ideal candidate will prioritize workload effectively, pay close attention to detail, and possess excellent communication skills. Flexibility, initiative, and good judgment are essential.
