Offer description

We are currently looking for an administrator to support the Transport Office in our small but busy team. The day starts between 6.30am and 18.30 with support mostly needed at the the end of the day. Work days are Monday till Friday inclusive. The depot is based in Avonmouth, Bristol. Extra hours may be required depending on proven competency and availability.

Good communication skills, good organisation and a positive outlook are necessary for this role as it is important to be able to remain calm and professional under pressure in a fast paced, challenging environment.

Job Purpose:

Ensures proper flow of office procedures and supports the Managing Director and Transport Coordinators by carrying out office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

Job Duties:

* Arranges meetings by scheduling appropriate meeting times, booking rooms and planning refreshments
* Manages correspondence by answering emails and sorting mail
* Looks after visitors
* Answers phone calls and transfers them as necessary to the relevant personnel
* Drafts, formats, and prints relevant documents
* Maintains and creates records and reports for HR and H&S
* Maintains stock lists and orders office supplies as needed
* Manages staff expense requests
* Interacts with directors and carries out their requests
* Maintains accurate records for employee holiday requests
* Manages outgoing post and records data on special deliveries
* Photocopies and files appropriate documents as needed
* Maintain Drivers Hours records
* Complete Driver Licence checks as necessary
* Arrange company training needs
* Assist with employee 5 year checks and DBS applications

Requirements and Qualifications:

· Prior office or administrator experience preferred

· Computer Literate Including Proficiency With Microsoft Office Programs

· Ability to Multitask
