Clinic Co‑ordinator/Admin Support

Overview
This role provides comprehensive clinic coordination and administrative support to Medical and Nurse‑Led outpatient clinics within the Adult Mental Health Directorate. The post-holder will be based at the North East Community Mental Health Team (Pentwyn Health Centre) and will work closely with patients, families and multidisciplinary professionals to ensure efficient clinic delivery.
Responsibilities
* Provide an efficient and effective reception, performing clerical duties associated with clinic coordination.
* Oversee all aspects of preparation and delivery of outpatient clinics.
* Deal with patients who have mental health problems with patience, understanding and an excellent telephone manner.
* Maintain confidentiality and discretion in all work‑related activities.
* Support the achievement of Welsh Assembly Government waiting‑list targets through accurate scheduling and follow‑up.
Qualifications
* Educated to a good standard.
* Strong organisational and communication skills.
* Excellent telephone manner and attention to detail.
* Knowledge of the current waiting‑list targets set by the Welsh Assembly Government.
Experience
* Experience dealing with members of the public in a healthcare setting.
* Previous office experience and familiarity with clerical procedures.
* Experience working in an NHS environment within a multi‑agency team.
* Experience dealing with people with mental‑health problems.
Skills
* Proficiency in NHS administrative procedures.
* Ability to work independently and as part of a multidisciplinary team.
* Capability to manage a busy environment under pressure and to handle emotionally distressed individuals.
Knowledge
* Knowledge of the Paris database.
* Knowledge of Oracle database.
* Knowledge of medical terminology.
Personal Qualities
* Initiative and ability to work alone.
* Flexibility and adaptability to service demands.
* Well‑motivated, enthusiastic, and highly organised.
