Join our close-knit team We’re seeking a motivated and highly organised individual to support our department’s daily training operations. As part of the onbaording service, you will be the welcoming face managing induction, training and supporting with initial queries. At all times you will ensure tasks are completed efficiently and on time.
This role requires excellent organisational and communication skills, along with the ability to support a wide range of staff.
The Administration and Training Officer will be responsibe for co-ordinating the delivery of service led training programme(s) within Facilities Services as identified within the Trust's Training Needs Analysis and blended learning.
The post holder will co-ordinate the Trust’s Mandatory Training sessions for the Facilities Services staff and be responsible for the co-ordination and, on occasion, delivery of a wide range of departmental in-house training packages.

Main duties of the job
You will provide a friendly and professional service to all facilities staff. Your day-to-day duties will include co-ordinating the services completion of all mandatory training and supporting e-learning packages across facilities departments.
Co-ordinate departmental training sessions in line with requirements. Meet with Departmental Managers, to agree training requirements to enable planning of workload. Contribute to the efficient working of the Directorate by ensuring compliance with legislative and departmental standard operating procedures, to demonstrate compliance with all standards
Excellent IT and Microsoft Office skills are required, as you will be working with various digital systems and handling a range of training and administrative responsibilities. Strong communication and organisational skills are also vital, as the role involves interacting with staff, volunteers and external contacts. You will need to show initiative, manage competing demands effectively, and contribute to the smooth and efficient running of the department.

Detailed job description and main responsibilities
The main responsibilities include but aren't limited to the following:
* Co-ordinate Trust 'Annual Mandatory Training' sessions and support e-learning packages across facilities departments.
* Provide management information in relation to compliance levels, by accurate recording within the Departmental Training Matrix.
* Act in accordance with current legislation, policies, procedures and good practice and support initiatives to
improve areas of service
* Support induction for all new starters, including IT support, site orientation and service bespoke training needs.
* Respond to internal and external telephone training enquiries, directing queries to the appropriate personnel as required.
* Manage emails on a daily basis, ensuring timely responses and appropriate follow-up.
* Draft and type correspondence such as letters, reports, and other official documents.
* * Schedule training to fit in with service availability, demand and completion dates.
* Assist in scheduling appointments and act as a liaison between various clinics to ensure smooth coordination.
* Accurately manage FM training data for wider circulation.
* Compile and collate reports on departmental activity for internal review and reporting

Essential criteria
* GCSE Maths & English or equivalent
* ECDL or equivalent experience

* Efficient in the use of Microsoft 365

* Experience of dealing with staff both on the phone and in person
* Previous administrative experience
