Background to the post
We are looking for an experienced and motivated Team Leader to oversee and develop our Work-Based Learning (WBL) Systems Co-ordination function. This is an exciting opportunity to lead the team responsible for ensuring our apprenticeship systems and data processes are accurate, compliant, and fully support learners and staff across WCG.
As Team Leader you will manage the WBL Systems Co-ordinator and provide strategic oversight of our apprenticeship systems and data. You will ensure our systems meet internal and external compliance requirements, support operational excellence, and deliver high-quality data for inspections, audits, and self-assessment.
You will work closely with Work-Based Learning Teams to drive improvements, implement the quality framework, and provide training and guidance to staff on system usage and compliance.
Responsibilities
* Lead, manage and support the WBL Systems Co-ordinator to maintain and improve all apprenticeship systems and learning platforms – for example the Apprenticeship Service, CRM, e-portfolio platforms, ILR data returns, and any associated reporting tools – ensuring they are accurate, compliant and fit for purpose.
* Oversee accurate and timely system set-up, updates, audits and reporting.
* Develop and maintain complex Excel-based reports and dashboards, using advanced formulas, pivot tables, macros and data validation to ensure high-quality analysis and insight.
* Coordinate preparation of data and reports for inspections (Ofsted, awarding bodies, and regulatory organisations).
* Drive continuous improvement in systems, processes and compliance, aligning with the Apprenticeship Journey and the WBL Directorate quality framework.
* Conduct regular audits of WBL system usage to ensure data accuracy and compliance with DfE Funding Rules. Identify gaps, errors, or risks and recommend corrective actions.
* Line manage staff including conducting one-to-ones, appraisals and personal development plans.
* Develop and deliver training on systems usage and compliance to new and existing staff.
* Create and maintain guidance documentation to ensure consistent, compliant processes.
* Contribute to annual self-assessment and quality improvement planning.
* Act as a role model and ambassador, building strong internal and external relationships.
* Prepare for external audits (DfE, Ofsted, and Awarding Bodies), collating and presenting data, evidence, and reports.
In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

Essential Attainments
* GCSE Grade C or above in English and Mathematics, or Level 2 equivalent qualification.
* Educated to Level 3 or higher in a relevant subject (e.g. Information Technology, Business Administration, or a related vocational area).
* Significant experience and proven success of working in a data management capacity in Further education.
* Significant knowledge of DfE funding rules, apprenticeship funding guidance and ILR data requirements, with the ability to interpret updates and ensure compliance across systems and processes.
Desirable Attainments
* A UK driving licence free of major endorsements and use of a vehicle during working hours.
