Offer description

Hi, we’re PEXA!

We know you’ll Google us before applying, so let’s keep this brief. PEXA revolutionised the way that property is settled in Australia, turning a paper-based process into a digital one. Our solution is a world‑first. With over 500 people across Australia and an expanding international team, we’re helping 20,000+ families into their homes each week. We’re passionate about solving problems for our customers, always striving to set the standard for how property is bought and sold. Being awarded as one of the best places to work in Australia is a recognition of our culture and commitment to innovation, customers and our community.

We’re growing fast, that is where you come in.

About the role

We’re looking for a highly organised, high‑energy Executive Support Assistant to join our fast‑paced FinTech environment. This is not your typical EA role - things move quickly here, priorities shift, and no two days look the same.

You’ll be at the centre of the action, supporting senior executives while helping to keep the wider team running smoothly. If you thrive in ambiguity, enjoy juggling multiple priorities, and bring pace, energy, and flexibility to everything you do, this role will suit you.

This role requires someone comfortable working across multiple locations, with a home base, hybrid model ideally with weekly Leeds presence, bi‑weekly travel between Leeds & Thame and other locations as and when needed across the UK. Flexibility is essential, both in terms of travel and day‑to‑day working.

What You'll Be Doing

Executive Support

* Complex diary management across multiple senior stakeholders with constantly shifting priorities
* Coordinating travel, meetings, and logistics across multiple locations
* Providing proactive, hands‑on support to senior executives (including C‑suite)
* Stepping in to support the wider Executive team when needed

Coordination & Operations

* Managing busy calendars, inboxes, and internal communications
* Supporting recruitment coordination and onboarding processes
* Maintaining organised, accessible documentation and filing systems

Events & Collaboration

* Organising and delivering regular collaboration days, off‑sites, and team events
* Coordinating logistics including venues, travel, catering, and agendas
* Supporting key company events and executive visits

What We're Looking For

* Proven experience supporting senior leaders in a fast‑paced environment (ideally FinTech or similar high‑growth sectors)
* Comfortable working in ambiguity – you can prioritise, adapt, and make decisions quickly
* Exceptional diary management skills across multiple stakeholders
* Highly organised with the ability to juggle competing priorities at pace
* Strong communication skills and confidence working with senior stakeholders
* A proactive, “get it done” mindset with high attention to detail
* Comfortable with regular travel and flexible working patterns

What will make you successful

* Energy, pace, and a positive attitude
* Flexibility and adaptability
* Confidence in handling pressure and change
* A natural ability to stay organised while everything around you moves quickly

What won’t work here

This isn’t a slow‑moving, highly structured corporate environment. If you prefer rigid processes, predictable days, or a steady pace, this role likely won’t be the right fit.

Salary

£40,000 – £45,000 a year

Benefits

* 25 days of annual leave per year (increasing to 27 after 5 years)
* Annual leave purchase option up to one week
* 4 wellness days per year (pro‑rated for part‑time) – take 1 per quarter
* 1 paid volunteer day per year
* Employee pension scheme (6% employer contribution, 4% employee contribution)
* Life assurance (4× basic salary)
* Health flexibility pot (up to £800 per year to spend on health options)
* Critical illness cover (1× basic salary)
* Group equity plan eligibility
* Enhanced maternity/adoption pay up to 20 weeks full pay
* Enhanced paternity pay up to 4 weeks full pay
* Performance‑based incentive scheme
* Learning & development (LinkedIn Learning, professional membership reimbursement)
* Employee assistance programme and wellbeing resources
* Use of PEXA office workspaces in Leeds and Thame

We look forward to hearing from you if you feel you’re the right fit for this role. Apply today.
