Office Administrator
We are looking for a proactive and highly organised Office Administrator with previous administration experience in an office environment. Reporting to the Practice Manager the individual will play a key part in supporting the day to day running of the practice, dealing with email/telephone/postal enquiries, and providing general support to the architectural and surveying teams, and Directors as required. Ideally, you will have a good working knowledge of Microsoft 365 and experience of using accounting software. You must also have great attention to detail, be an excellent team player and have the ability to work on your own initiative.

Role and Responsibilities
As the Office Administrator you will provide high-quality administrative support in a confident and positive manner to the Management Team, to include diary management and email monitoring. In addition, provide administrative and secretarial support, to include occasional audio typing, to other fee earners within the practice.
Required Qualifications, Skills and Experience
* Have a minimum of 3/5 years+ administrator experience in an office environment.
* Good academic qualifications e.g., GCSEs A – C grade (or equivalent) including Maths and English
* Be IT literate and highly competent using Microsoft 365 (Outlook, Word, Excel, SharePoint and Teams) along with the ability to prepare various types of documentation.
* Experience of using accountancy software (although full training will be given).
* To be organised, able to prioritise work, to have time management skills, pay attention to detail and able to work under pressure.
* Confident telephone manner and able to deal with clients in person and on the phone.
* To have the confidence to cover for the Practice Manager in their absence.
* Full clean driving license.
Main Duties
* As an Office Administrator you will assist with the production of documents to include reports, specifications, emails and other documents as required.
* Co-ordinate and book meetings (to include MS Teams).
* Proof-read documents to achieve 100% accuracy.
* Make and receive telephone calls to/from clients and colleagues, take accurate messages and respond by taking initiative where appropriate and liaising with colleagues where necessary.
* Produce invoices and cashflows for the architectural team.
* Assist the Accounts Manager with monthly Petty Cash, Credit Card & Expense claims.
* Maintain accurate client contact details.
* Assist with marketing/CPD events by making necessary arrangements, organising mailings and publicity. Maintain marketing databases.
* Work alongside the Practice Manager to ensure the general smooth running of the office and assisting with general administrative, vehicle fleet management and HR duties.
