Purpose of the job To provide administrative support to the employees of the scheme, and Board of Trustees as appropriate and agreed. To ensure the efficient administration of the Home-Start office. To work as part of a team with compassion and kindness supporting the ethos of the charity as a whole. Main Responsibilities General office duties including answering the phone, responding to emails and managing a small paper filing system. Maintaining supplies of stationery and office sundries. Managing scheme database and inputting data required for monitoring and evaluation. Assisting the manager to maintain efficient, accurate and confidential records, including statistics collection and collation under current GDPR. Managing online banking and payments of salaries, invoices & volunteer will include the small starling account used for the Baby Bank monthly budget as well as any petty cash used. Maintaining monthly bookkeeping on excel including :-lodgement journal,expenditure spreadsheet and bank reconciliations. Administrative support required with end of year accounts. Banking any cash donations. Any administrative assistance required to support fundraising and funding applications. Supporting annual returns to Companies House and the Charity Commission. Attending and taking minutes at our bi/monthly management meetings.( Wednesdays at 2pm- 4pm) Providing administration to assist in the recruitment new volunteers and support of active volunteers. Ensuring good practice in equality, diversity and fairness. Working with all other members of the team to ensure good safeguarding practice in all aspects of the schemes work. Complying with all Home-Start policies and procedures. Assisting with hospitality for any visitors to the scheme. Supporting any additional charity events ( e.g. Christmas Appeal ) and meetings as required. Assist with schemes social media and other promotional material.
