Are you highly organised, proactive, and ready to support the smooth and efficient running of a busy Defence operation? We're looking for a Helpdesk Operative & PPM Coordinator to join our team at HMS Drake, where you will play a key role in ensuring the delivery of high‑quality support across our facilities portfolio.
In this varied and fast‑paced position, you'll coordinate planned preventative maintenance (PPM), manage helpdesk enquiries, and maintain accurate and structured documentation — ensuring teams, partners, and customers receive timely, reliable information and service.
Key Responsibilities
Planned Preventative Maintenance (PPM) Coordination
* Support the scheduling, progress tracking, and delivery of PPM activities.
* Monitor project timelines, risks, milestones, and resource requirements.
* Prepare clear reports, dashboards, and updates for managers and leadership.
* Contribute to strong governance and consistent operational performance.
Helpdesk Support (CAFM Systems)
* Log, monitor, and resolve helpdesk tickets within agreed SLAs.
* Escalate issues appropriately while maintaining transparent communication.
* Respond to queries relating to PPM, CAFM systems, and associated processes.
* Identify recurring issues and support continuous improvements.
* Ensure full compliance with Mitie procedures and system protocols.
Administrative Support
* Manage daily administrative duties including office supplies, filing, uniform and PPE orders, and general correspondence.
* Provide flexible support to the wider team on both routine and ad hoc needs.
* Maintain a professional, organised, and customer‑focused service.
Document Control
* Maintain structured, accurate, and accessible project documentation.
* Uphold version control standards and consistency across materials.
* Support audits and internal reviews through effective document control.
Skills & Experience
Essential
* Experience in CAFM systems such as Maximo.
* Proficient in Microsoft Office and SharePoint.
* Strong organisational and analytical skills with excellent attention to detail.
* Effective verbal and written communication skills.
* Confident working with a wide range of stakeholders.
Desirable
* Experience working on military bases, within Defence environments, or within facilities management.
* Previous experience in a similar helpdesk, coordination, or administration‑focused role.
* Experience using document management systems and helpdesk ticketing tools.
