Position: Trainee Customer Service Operator
Location: Heathrow
Hours: Full time, 37.5 hours per week, 9am - 5.30pm Monday to Friday
The trainee customer service operator will work towards becoming competent in all of the below areas of responsibilities over a 12- to 24-month period. On the job and external training will be provided. The position is responsible for the delivery of customer service excellence in line with contractual requirements, such as arranging both import and export shipments in the most efficient and cost effective manner, whilst achieving the required service levels. Dealing with all shipping documentation as per Company guidelines and the Government Services Business Process Manual.
Responsibilities
* Ensuring accurate data is entered into Hellogic and other operational platforms.
* Processing diplomatic and commercial airfreight consignments from start to finish.
* Reviewing all customer bookings and clearance instructions, ensuring these are understood and followed.
* Providing all relevant service providers with the required information for successful service delivery in line with contracted SLA's.
* Ensuring all delivery instructions are clear, concise and are provided in the correct format.
* Communicating with all operations to ensure the accuracy of consignment delivery.
* Managing in transit milestones for all diplomatic and commercial shipments by obtaining the latest status information, updating systems and monitor accordingly in line with Government Services contracted SLA through to delivery.
* Service failure root cause analysis and action planning.
* Complying with all relevant work and safety legislation, standards and organisational procedures and UK security regulations.
* Providing customer reports where required.
* Coordination with warehouse and transport teams to ensure error free handling of diplomatic material in line with contracted SLA's.
* Regular communication with the overseas branches ensuring that all issues are dealt with in a timely manner.
* Communication with the airlines and the integrators regarding any service issues, ensuring that issues are resolved within a minimum timescale.
Qualifications
The ideal candidate will be educated in Maths and English (oral and written) to GCSE, Standard Grade or equivalent; grade A-C and be able to demonstrate highly competent computer skills in all areas of Microsoft Office. We are looking for a candidate who can demonstrate customer service excellence and effective communication skills.
