A fantastic opportunity has recently arisen within the Bristol Urological Institute. The role is for a Patient Pathway Assistant, working 32 hours a week in the busy Urology department. The position supports the administrative processes for patients with urological issues, covering both inpatient and day‑case management, and assists the Consultant Team and Patient Pathway Coordinator.
Responsibilities
* Support the Patient Pathway Coordinator to manage inpatient and day‑case waiting lists, coordinating admission and associated pre‑operative clinics and theatre lists.
* Add, remove and modify patients on the waiting list in line with the Trust’s Patient Access Policy.
* Book theatre lists as directed by the Coordinator.
* Schedule new or follow‑up outpatient appointments, book pre‑admission appointments, organise investigative treatments and diagnostic appointments, ensuring patients are informed with reasonable notice and all relevant paperwork is completed.
* Provide administrative support to consultant and clinical teams.
* Accurately complete clinic letters from dictation, ensuring correct templates and patient details, and trace notes in and out.
* Assist with photo‑coping, filing, faxing and other administrative duties to ensure efficient office operation.
* Advise patients on admission matters, including pre‑ and post‑operative guidance, and explain their position on the waiting list.
* Handle enquiries from all service users in a helpful, courteous and diplomatic manner.
* Receive and process incoming mail (electronic and physical), sorting and prioritising items, ensuring clinical reports and referrals reach the Coordinator.
* Maintain patient confidentiality at all times.
* Liaise with partner organisations to facilitate patient treatment across primary, secondary and tertiary care providers.
* Co‑ordinate with Cancer Services MDT Coordinators to ensure patients with suspected or confirmed malignancy receive appropriate care.
* Document and communicate patients’ special needs and/or comorbidities to relevant wards and departments.
* Cancel or reschedule patient appointments and TCI dates as requested, following Trust policy.
* Maintain regular communication with consultant teams, clinical staff and directorate management to support efficient processes.
* Provide a friendly, efficient service to patients, using effective communication and empathy, especially with distressed or bereaved individuals.
* Answer telephone enquiries promptly, taking and relaying messages politely and acting where appropriate.
* Cover for colleagues during planned annual leave and sickness across the speciality/clinical directorate.
* Undertake additional administrative tasks and responsibilities within the speciality/clinical division as required.
* Adhere to all Trust policies, including Infection Control, Hygiene Code, Data Protection Act, Uniform Policy, and respect patient rights and diversity to ensure fair access to services.
Person Specification
Essential Criteria
* Grade 4 General Certificate of Secondary Education (GCSE) in Maths and English.
* Good organisational and time‑management skills, able to prioritise workload and meet tight deadlines.
* Strong written and verbal communication skills.
* Ability to follow procedures and work independently.
Desirable Criteria
* Experience in NHS settings, particularly patient pathway knowledge.
* Familiarity with PAS (Patient Administration System).
