Kevin Haley Studio is a London-based spatial and strategy-led design practice working across culture, community, and place. Collaborating with global developers, local authorities, cultural institutions, and brands, the studio designs with a focus on human experience to craft impactful narratives and deliver projects of varying scales. The interdisciplinary team, led by Founder Kevin Haley, integrates narrative thinking with hands-on design, specializing in placemaking, architecture, interiors, and cultural programming. Kevin Haley Studio's mission is to create spaces where people belong, transform stories into experiences, and establish platforms that foster community and culture.
Role Description
This role sits at the centre of the studio. You will work closely with the founder and the team to ensure projects, people and operations are well organised and effectively coordinated, supporting the smooth day-to-day running of the practice as it grows.
Responsibilities
* Project onboarding and studio programme — setting up new projects, programmes, Trello boards, folders, agreements and initial invoices, and maintaining an overview of all live work across the studio.
* Resourcing and recruitment — tracking upcoming workload and maintaining relationships with freelance and permanent designers to ensure the studio is properly resourced.
* Invoicing and financial administration — acting as the link with the bookkeeper, preparing and sending client invoices, and tracking and chasing outstanding payments.
* Studio systems — ensuring shared tools such as Trello, Xero timesheets and file management systems are used consistently, and supporting the development of simple studio processes and documentation.
* New business support — helping manage a simple CRM, identifying and contacting potential clients, setting up initial conversations and supporting the conversion of enquiries into live projects.
* Brand curation and outreach — researching and contacting independent brands and operators for placemaking projects, and tracking engagement across opportunities.
* Copywriting and website content — drafting and editing project, website and case study copy, and helping keep content up to date and consistent.
* Studio and founder support — managing diaries and meetings, booking travel, coordinating holidays and helping keep the studio organised day to day.
Required competencies
* Highly organised and proactive, with the ability to manage multiple priorities.
* Comfortable working across people, projects and administration in a creative environment.
* Strong Communication and Customer Service skills to manage client relationships and ensure seamless collaboration.
* Proven Team Leadership skills with the ability to guide and motivate a multidisciplinary team effectively.
* Sales experience, including client acquisition and maintaining positive customer interactions.
* Proficiency in office management tools and an ability to work collaboratively with internal and external stakeholders.
* Previous experience in a creative, design, or cultural environment is highly desirable.
* Bachelor's degree or equivalent experience in a relevant field is preferred.
* Confident using Google Workspace (Docs & Sheets); familiarity with Trello and Xero desirable.
* Experience with InDesign would be an advantage.
