The Administrator/Facilities Support role holder will report to Operations Delivery Director.

To support the Energy Business in the efficient, compliant and high-quality delivery of Administration and Facilities services to individual projects as well as the business as a whole. The role ensures the effective provision of ad-ministrative and facilities support to professional staff, enabling the smooth operation of project execution activi-ties and business systems, to maximise the value and quality of deliverables.
The postholder acts as a key point of contact within the office for administration, facilities and business support activities, ensuring responsiveness, professionalism and continuous improvement.

Job Duties and Responsibilities

General Administration

1. Manage and respond to enquiries received via the Energy Admin mailbox in a timely and professional manner.

2. Deliver project administrative and facilities support to projects and the greater business, ensuring accuracy and quality in delivery of required activities.

3. Provide support for both planned and urgent business requests.

Travel & Expenses

4. Coordinate domestic and international travel arrangements (flights, accommodation, car hire) for project and office based personnel.

5. Provide guidance on travel planning and approval processes.

6. Support expense submissions, Concur queries and provide best practice guidance.

7. Assist with timesheet processes, particularly for seconded/site-based staff.

Meetings & Events

8. Arrange meetings, including room bookings, equipment setup and catering.

9. Organise training sessions and training-related administration.

Systems & Processes

10. Provide guidance on the ServiceNow (SNOW) system for HR, IT and business support tickets.

11. Maintain efficient electronic record and filing systems for the Lead Team.

12. Support project-specific document management systems as required.

13. Provide feedback to the Energy Operational Delivery Director on system effectiveness and compliance challenges.

Workforce & Project Support

14. Support workforce planning reporting and associated data updates.

15. Provide project delivery administration support.

16. Assist with contractor enquiries.

Procurement & Supplies

17. Order Personal Protective Equipment (PPE) on behalf of Energy team members.

18. Maintain consumable stock levels for the business.

19. Support ad hoc office and project purchases outside the Facilities remit

Facilities & HSSE Support

20. Act as a point of contact for facilities-related queries within the office

21. Create and manage security passes, including replacements.

22. Liaise with landlords, building managers and service providers to resolve facilities issues.

23. Escort and supervise external contractors to ensure compliance and safe execution of works.

24. Liaise with cleaning providers to resolve service issues.

25. Maintain and update facilities compliance systems (, Trackrecord), ensuring audit readiness.

26. Coordinate statutory inspections and testing (, PAT testing, fire extinguisher servicing).

27. Organise ad hoc repairs and maintenance requirements.

28. Authorise routine facilities invoices (large invoices authorised by Facilities Manager).

29. Attend landlord meetings as required.

30. Order and manage office supplies and refreshments, including client and project-based requests.

Front of House

31. Coordinate visitor bookings with building reception.

32. Ensure all visitors are appropriately escorted where required.

33. Ensure meeting rooms are fully prepared (equipment, refreshments, layout).

34. Ensure visitors receive safety briefings and understand emergency procedures.

New Starter Support

35. Coordinate local onboarding activities

36. Deliver office inductions and tours.

37. Facilitate introductions to key personnel.

38. Confirm completion of required inductions.

39. Assess and coordinate Personal Emergency Evacuation Plans (PEEPs) where required.

Qualifications & Experience

40. Previous administration experience preferred but not essential.

41. Self-starter with ability to think for themselves.

42. Motivated team member with the ability to work to deadlines and communicate progress as applicable.

43. Good communication skills and ability to articulate information to a broad range of stakeholders.

44. Proven experience of delivery within a highly regulated environment

Compensation Details:

£35,000
