What's in it for you? 36 hours per week Short term temp cover - 31st October 25 On site parking £13.88PHR What you'll do Confidential support services to the Head of Department Schedule meetings and appointments, maintain the diary, receive visitors and deal with relevant enquiries: Deal with correspondence, telephone calls, electronic mail and faxes; Organise and maintain an appropriate filing system, paper-based and electronic, for the Head of Department; Word-process documents such as letters and memoranda and produce information/presentation packs; Co-ordinate papers for meetings including the production of an agenda, provision of minutes and follow-up actions; and Administrative support for the Department To ensure that an administrative support service is provided within the Department including: Ensure all documentation required for completion by the Department is concluded in a satisfactory and timely manner; Requisition materials and resources as directed by the Head of Department; Monitor aspects of the budget as directed by the Head of Department; Collate necessary reports for all staff in the Department in accordance with the College's policy; Advise MIS of inaccuracies in Department data; Carry out administrative functions relating to curricular reviews; Make arrangements for visits to the Department by internal/external bodies, agencies and individuals and collate and disseminate minutes/reports to staff; Necessary liaison with relevant support functions to ensure efficient and effective operation of the Department; Complete all administrative tasks in relation to work placements/experience for students; Organise the Department's contribution to College award ceremonies; Assist in the organisation of special events for the Department; Process all administration post cancellation of classes; Display consistent approach to colleagues. Operational support for the Department To be an integral part of the Department on a designated site and ensure work is carried out as effectively and efficiently as possible; To assist with the effective communication within the Department/Campus e.g. switchboard operation, dissemination and circulation of information, contact with external bodies; To assist with marketing events as a Campus point of contact e.g. open days; To contribute to, and ensure, an ethos of high quality and corporate image; To undertake staff training as required; To undertake duties, as appropriate, related to the administration of the Campus on which the post is located; To maintain accurate financial records where appropriate to the role; To assist in the administration of an effective, efficient and confidential management system for records and archiving of information. About you Essential: Applicants must have a minimum of 5 GCSEs grade A - C or equivalent including English Language and Mathematics. Applicants must have 1 years' office/reception experience.
