The Role This role provides effective administrative support to Solmar’s Overseas Health & Safety policies and processes. It also takes ownership of day ‑ to ‑ day risk controls, compliance tracking, incident analysis, with the authority to escalate critical risks to ensure issues are addressed promptly and nothing is overlooked. The role supports the ongoing development, implementation and maintenance of Solmar’s Overseas Health & Safety policies and procedures, helping to promote a strong safety culture across the business. Support the monitoring of villa safety standards, ensuring risks are mitigated, through accurate keeping, follow‑up actions, and coordination with relevant teams. Ensure compliance with internal safety processes, reporting requirements, and safety documentation. Resolving Escalated safety related cases/tickets to Officers when necessary Checking safety conformities such as gas /oil/diesel certificates Respond to general enquiries via email and telephone from internal staff and external villa suppliers Ensuring safety self-assessments are complete by our villa suppliers and owners ahead of arrivals Ensuring audit reports are signed by suppliers for all villa audits Ensuring high risk villas are resolved in time for arrivals Escalating safety related cases/tickets to Officers when necessary Checking safety conformities such as gas /oil/diesel certificates Yearly Stock taking for overseas health and safety stock Manage and monitor boot stock for overseas staff Escalate safety related feedback and/or complaints to the relevant officer for investigation Pulling and providing data for Head of Safety and Risk for Weekly team meeting and monthly board report & end of season reviews Regularly monitoring all incidents for escalation and identifying and highlighting patterns/trends that require further investigation and providing incident data for end of year reviews Other admin as required Cross ‑ Team Collaboration Foster strong working relationships between the Safety & Risk team, suppliers, overseas teams, and the product team. Act as a central coordination point for overseas safety information and communications. Support Positive engagement with contractors and overseas staff Work with the head of safety and risk to Produce a bimonthly column for the contract’s supplier newsletter Suppliers Support suppliers in understanding safety expectations and processes through introductory and ongoing calls. Encourage a strong safety culture and clear, positive communication Reporti ng Attend weekly team meeting and provide overview of current high-risk issues/ overdue audits Taking notes and action points from weekly team meeting Provide quality team with yearly orders for safety stock Gen eral Contribute to an open, supportive and collaborative team culture.
