Job Overview
Security & Parking Admin Support. This challenging role requires the successful candidate to structure a given workload and portfolio, prioritise tasks and work to a daily, weekly and monthly schedule in terms of reporting and document delivery, data capture and maintenance. Excellent organisational skills and the ability to work under pressure are essential.
Main Duties
* Confident in dealing with the public.
* Able to communicate effectively with staff at all levels.
* Handle permit application queries and allocations, including alterations.
* Monitor permit numbers in circulation and eligibility requests.
* Prepare permit appeal documentation for the Appeals Panel.
* Allocate permits in a timely manner for allowable types, e.g. Off‑Peak and Peak permits.
* Maintain Permit Cash Payer records, including contacting cash payers in arrears.
* Prepare information for NBT to handle application rejection appeals.
* Prepare information from NBT HR to cancel permits and applications of leavers.
* Create reports from PermIT as requested.
* Maintain Resident Permit and liaise with the Residence Department.
* Maintain record of cash permit payers.
* Monthly reconciliation of permit allocations with Finance/Payroll – PermIT.
* Monthly updates to Finance/Payroll on cancelled and new permit allocations.
* Monthly parking income reconciliation with Payroll.
* Support any other reasonable management requests.
KPI Reporting
* Maintain clear and concise financial records.
* Record permit data for inclusion into Monthly KPI.
* Record minutes of meetings and transcribe them into an agreed format.
Complimentary Parking (including Volunteer & Mobility)
* Process complementary parking.
* Process mobility support from Occupational Health.
* Maintain mobility information for SPO.
* Maintain Volunteer Driver database and passes.
* Process Occupational Health information to ensure permits are issued/withdrawn in line with information received.
Financial Database Management
* Inform NBT of any irregularities in audit information compared to cash counted.
* Investigate the cause of irregularities and report to NBT of actions taken.
Additional Responsibilities
Ensure that all assigned tasks are completed professionally and timely, meeting relevant legislation.
To Succeed
* Customer service skills.
* Excellent written and verbal communication.
* Possession of an SIA licence or willingness to work towards one.
* Ability to work on own initiative and as part of a team.
* Professional presentation, sound judgement and integrity.
* Good standard of English and Maths.
* Computer literacy (Word, Excel, Outlook, and database management experience).
* Experience in the security industry is an advantage.
Education / Training / Qualifications
Essential criteria
* SIA Licence
* NVQ Level 2 Customer Service or equivalent
* GCSE or higher for English Language (spoken and written)
Desirable criteria
* CCTV licence
Work Experience
Essential criteria
* Minimum 2 years security experience
* Experience dealing with the public
* Experience working for a large organisation
Desirable criteria
* Police or military experience
Knowledge, Skills & Abilities

* IT literate and proficient in ICT.
* Hold a valid UK driving licence.
* Ability to make effective decisions under pressure.
* Ability to write and maintain accurate reports.
