Senior HR Systems Specialist (Systems Maintenance, Configuration Changes, Technical Issues)

* Holidays: 34 Days + Bank Hols

We are seeking a new staff member with good experienced in SAP UK Payroll systems to join a HR Systems team supporting a university on-premises SAP Payroll system.

This technical and varied role will deliver high quality system support, leading on configuring and maintaining system structures including payroll schemas, wage types and pensions. Whilst mostly responding to a diverse range of requirements from a Payroll and Pensions Team. The role will also collaborate with other colleagues from the People Team, Finance, and external partners.

The role will ensure all configuration adheres to UK legal requirements from HMRC, as well as GDPR, and will be proactively managing the payroll system annual patching process and test strategy. As part of a business-critical technical team, this is an opportunity to get fully involved with delivering a high-quality and trusted payroll system support service within a leading and busy university environment.


About You

You will have a strong technical expertise of SAP UK Payroll, both through delivering changes and conducting support. You will have evidence of a strong understanding of UK Payroll legislation, statutory calculations and HMRC processes as well as excellent general IT.

Be able to offer a high degree of accuracy and diligence and be at ease working within a team, whilst also being able to demonstrate the flexibility to prioritise and manage a number of operational support activities at a time. The right person should already understand how common payroll and pension business processes work and may even have experience of the UK Public Sector.

Experience of integrations from SuccessFactors to on-premises SAP Payroll would be advantageous, as would a basic knowledge of ABAP and debugging


Duties

* To provide high-level technical expertise in relation to the HR/Payroll system; determining how to meet emerging business requirements, conducting advanced configuration changes, resolving complex technical issues and undertaking system-related project work.
* To manage the Systems Specialist and Systems Support Analyst effectively.
* To develop and maintain an effective working relationship with external suppliers.
* Provides top level user support or carries out escalation/call logging to software supplier or internal ITS/SAP Finance teams where required
* Develops new system-related business processes and oversees the maintenance of existing process maps, standard operating procedures and other user support materials, as required
* Design/deliver ad-hoc training of system users, as required
* Create new and maintains existing Role Based Permissions in SuccessFactors (SF), or advises on SAP Payroll Roles.
* Carry out tasks delegated by senior colleagues
* Liaise with: Payroll/Pensions Teams over new SAP Payroll system requirements / Work with People Team regarding changes to business requirements
* Oversee the day-to-day system configuration change processes (either in SF or SAP Payroll)
* Carry out complex configuration changes, e.g. payroll schema amendments, organisation restructures; creating new or amended data fields, business rules, workflows and absence types
* Conduct complex data imports, e.g. matrix relationship changes against an entire department or other mass data changes
* Manage the annual mass salary increase processes, including ensuring that the required preparations have been made and that other team members are running the process effectively
* Manage the cyclical annual leave allocation and carry over processes, as required
* Develop and oversees data integrity exception check processes
* Review release notes for system upgrades/patches to determine impact, testing requirements and allocate resource
* Write ‘Ad Hoc Queries’ in SAP Payroll and create ‘variants’ (filters) on standard SAP reports, as required
* Exports complex data sets from SF or SAP Payroll
* Provide line management and supervision for two direct reports, ensuring that they are supported, developed and coached to provide the best possible service to the University.
* Lead or participates in the delivery of specific HR systems projects and provides direction and support to team members supporting them, as required.


Person Requirements

* Degree in a relevant subject or equivalent experience.
* Experience in application support for HR/payroll systems, including working with intricate user access models, loading/exporting complex data sets and conducting high-level configuration.
* Experience of process design/improvement and producing documentation (e.g. relating to system configuration, user support materials).
* Line management experience, including managing the workload and performance of a small team.
* High level, specialist knowledge of HR systems and HR business processes
* Up-to-date knowledge of legislation governing HR administration, payroll and/or pensions legislation including GDPR.
* High level analytical, problem solving, design and implementation skills.
* Excellent written and verbal communication skills (in relation to both technical and non-technical audiences), including the ability to have effective and clear discussions around requirement and delivery.
* Ability to design and deliver training sessions and other user support solutions clearly and effectively.
* Skilled in developing and implementing comprehensive system testing plans, ensuring sufficient rigour and recording of testing activity.
* Ability to manage competing and emerging priorities under pressure, ensuring that own/team targets are delivered on time.
* Ability to manipulate data using a variety of tools, including Excel.

Accreditation in relevant HR/payroll system.

Experience of supporting SAP Payroll and/or SuccessFactors.

Experience of working in higher education.
