Overview

Receptionist - Northampton, Northamptonshire, NN36XJ

Employer: Smurfit Westrock (via TieTalent)

Monday to Friday, 8:00am – 4:30pm


Role

We are seeking a detail-oriented individual to act as the first point of contact for visitors, clients, and callers, providing a professional and welcoming service at all times. The role also provides administrative support.


Responsibilities

* Operate the switchboard and maintain prompt and efficient service at all times.
* Manage the reception area to ensure it is tidy and presentable.
* Operate the security gates at site entrances.
* Attend to visitors in a warm and professional manner.
* Handle incoming and outgoing mail, deliveries, and courier arrangements.
* Administration of temporary Wi-Fi access for guests.
* Add, deactivate, and manage fobs for door access systems; manage visitor logs and issue access fobs in line with security procedures.
* Schedule and coordinate meetings, including room bookings and refreshments.
* Order, control, and distribute workwear and safety shoes via suppliers on an ad hoc basis.
* Update and manage noticeboards and internal communications.
* Coordinate fire alarm roll-call lists and assist with emergency procedures.
* Organise travel arrangements for site personnel (flights, hotels, taxis, hire cars, company pool cars).
* Manage site stationery requirements and liaise with IT and suppliers on stock levels.
* Input purchase order requisitions into the SAP system; assist Finance with invoice and PO queries in line with procurement policies.
* Support HR with admin, data entry, data analysis, and minute-taking; assist with events or staff communications.


Qualifications and Skills

* Previous experience in a receptionist or administrative role is desirable.
* Excellent communication and interpersonal skills.
* Strong organisational and time management abilities.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Professional telephone manner; able to interact with people at all levels.
* Ability to multitask and work under pressure while maintaining accuracy.
* Discreet and trustworthy; able to handle confidential information.
* Ability to type quickly and accurately with solid admin/secretarial experience.
* Clear and concise communication, both on the telephone and in person.
* Friendly and courteous demeanor on reception; ability to adapt to changing priorities and meet deadlines.
* Experience with SAP and knowledge of purchasing processes are desirable.
