Headquartered on Harley Street, Bodyset is a network of 30+ sites, mainly in London, with locations in West Berkshire, Surrey, North Lincolnshire, Buckinghamshire, Bristol, Berkshire, Cambridgeshire, Essex, Sussex, Hertfordshire, and Oxfordshire. We collaborate with fitness chains like Bannatynes, Gymbox, Milo & The Bull, UNIT, and Fitness First.

We are seeking an experienced receptionist for our Oxford Clinic.

You will support the clinical team and handle administrative tasks, including patient bookings and inquiries.

This role involves being the first point of contact; therefore, professionalism, friendliness, and excellent customer service skills are essential.


KEY RESPONSIBILITIES

* Greet clients warmly and professionally, directing them appropriately.
* Maintain cleanliness and orderliness of the clinic and reception area.
* Open and close the clinic as required.
* Manage incoming calls, screen, and relay messages accurately.
* Handle client inquiries diligently.
* Manage patient referrals efficiently from various sources.
* Coordinate patient appointments across multiple locations and assist clinical staff with diary management.
* Develop knowledge of services to inform and assist clients.
* Keep client records, billing, and appointments updated using practice management software.
* Support clinical teams with patient caseloads to ensure a smooth experience.
* Assist operations, liaising with suppliers and external departments as needed.
* Undergo fire warden training to ensure safety and compliance.


REQUIRED EXPERIENCE / QUALIFICATIONS

* Exceptional customer service skills with a proven record of exceeding expectations.
* Polite, confident telephone manner.
* Positive, proactive attitude.
* Proficiency in Excel, Word, Outlook, and practice management software.
* Excellent verbal and written communication skills.
* Ability to work independently and proactively.
* Capable of working within a team and outside regular hours if necessary.
* Calm under pressure and professional at all times.
* Healthcare or medical industry experience is desirable.
