EA Search is partnered with a Real Estate group looking to welcome a EA to Director into the team. Executive Assistant to Director The post holder will be required to work 9.00 – 5.30 (37.5 hours per week) with an hour for lunch. This role will require 5 days a week in the office, which is located in North London. EA to the Director/Owner (60% personal 40% business). Diary management, organising appointments and meetings, making the necessary preparations to support commitments including extensive travel and last minute arrangements (international and national). Draft, prepare, distribute and follow-up correspondence, including taking dictation, inbox management and drafting emails on behalf of Director. Act as a first point of contact to those approaching the Director, responding and re-directing incoming enquiries when appropriate. Drafting offer letters, preparing research and organising non-disclosure documents and managing payments and contracts for signing. Organising family holidays (sometimes including a large group of guests) and managing overseas holiday homes, including paying bills, ensuring any deliveries have been received and maintenance is completed prior to visits. Liaising with staff on the private yacht to ensure all preparations and special requests are made prior to the family’s arrival. Organising private flights and cars where necessary. Setting up and maintaining electronic and paper filing systems, improving them as necessary (both personal and business related). Dealing with all household matters and personal tasks including, sourcing and purchasing presents, booking appointments/restaurants, paying bills (UK and US), organising household insurance and close liaison with household staff. Assisting the other two owners PA’s when required (usually during their absence). Other tasks include getting lunch and coffee daily, setting up meeting rooms and making tea for the Director. Skills & Experience Required Proactive nature with the ability to anticipate the needs of the Director. Resilience and ability to work calm under pressure. Ability to interpret detailed written and numerical information and draw conclusions. Project management experience. Proficient IT skills. Excellent communication skills. Professional working manner. Excellent organisation and time management skills. Experience working for HNWI. Experience organising complex diary and travel arrangements. Personal/Private assistance experience. Ability to work to deadlines. Dealing with confidential and sensitive information. Confident liaising with internal and external contacts. Team player. Ability to take initiative. This role will be 5 days a week in the office, and is offering a salary of up to £70,000.
